Job Summary
We are seeking a dynamic Senior Portfolio Manager to join the team at our successful HOA management company. The Property Manager is responsible for directly managing all aspects of their assigned commercial and/or residential properties. Responsibilities
- Oversee the daily operations and management of a portfolio of homeowners associations, ensuring compliance with governing documents, state regulations, and company policies.
- Serve as the primary point of contact for Boards of Directors, providing professional guidance on association governance, maintenance planning, financial management, and policy enforcement.
- Prepare and attend Board meetings, annual membership meetings, and executive sessions; draft agendas, management reports, and meeting minutes as needed.
- Review and monitor association budgets, financial statements, reserve studies, and vendor contracts to ensure fiscal responsibility and long-term planning.
- Coordinate and supervise maintenance projects, capital improvements, and emergency repairs by working closely with vendors, contractors, and maintenance teams.
- Oversee the bidding process for contracts and major projects, including proposal review, vendor negotiations, and recommendation preparation for Board approval.
- Ensure timely enforcement of association rules, architectural guidelines, and CC&R compliance while maintaining positive homeowner relations and dispute resolution.
- Monitor insurance policies, claims, and risk management practices to protect the association’s assets and minimize liability exposure.
- Supervise and mentor junior community managers, assistant managers, and support staff, providing training and performance guidance.
- Respond to escalated homeowner concerns, legal matters, and sensitive community issues with professionalism, discretion, and effective problem-solving.
- Collaborate with legal counsel, insurance representatives, reserve analysts, and other consultants on association matters including litigation, claims, and compliance issues.
- Maintain accurate association records, contracts, correspondence, and regulatory filings in accordance with legal and management requirements.
- Develop and implement strategic plans to improve community operations, resident satisfaction, and overall property values across the portfolio.
Qualifications
- Minimum of 5 years of experience in homeowners association (HOA), community association, or property management, with at least 2 years in a leadership or senior portfolio management role.
- Strong knowledge of California HOA laws and regulations, including the Davis-Stirling Common Interest Development Act, Civil Code requirements, Corporation Code, Fair Housing laws, and related compliance standards.
- Active California community management credentials preferred, such as Certified Community Association Manager (CCAM), Certified Manager of Community Associations (CMCA), Association Management Specialist (AMS), or Professional Community Association Manager (PCAM).
- Proven experience managing multiple associations, budgets, reserve planning, vendor contracts, and capital improvement projects.
- Strong financial acumen with the ability to review budgets, financial statements, delinquency reports, reserve studies, and special assessment planning.
- Excellent communication and interpersonal skills with the ability to effectively work with Boards of Directors, homeowners, vendors, legal counsel, and internal staff.
- Experience preparing and leading Board meetings, annual membership meetings, executive sessions, and homeowner dispute resolution.
- High standard for organization skills, attention to details and follow-through.
- Ability to interpret and enforce governing documents including CC&Rs, Bylaws, Rules and Regulations, and Architectural Guidelines.
- Strong leadership skills with experience supervising, mentoring, and developing junior managers and support staff.
- High level of professionalism, discretion, and conflict resolution skills when handling sensitive homeowner, legal, and operational matters.
- Proficiency in HOA management software platforms, Microsoft Office Suite, Adobe Acrobat, and electronic record management systems.
- Valid California driver’s license, reliable transportation, and ability to travel regularly between managed communities and office locations.
Salary : $70,000 - $90,000
