Job Description
This position will help with the financial and administrative management of grants, contracts, and other externally funded projects once they have been awarded, works with the university's accounting or financial services department to set up new accounts for each project and ensure all funds are correctly allocated; monitors project expenditures; and prepares and submits required financial reports to sponsoring agencies in a timely manner.
Responsibilities
- Serve as the primary liaison with the relevant internal departmental administrators to establish new awards in university systems.
- Review award notices, terms, and conditions to ensure institutional compliance.
- Communicate award requirements, reporting deadlines, and compliance expectations to principal investigators and project staff.
- Maintain accurate records of agreements, contracts, and amendments.
- Develop and monitor award budgets in collaboration with faculty, finance, and SGSR leadership.
- Track expenditures, reconcile accounts, and ensure allowability, allocability, and reasonableness of costs.
- Support effort reporting, cost sharing, and other compliance requirements.
- Prepare financial reports and documentation for internal and external stakeholders.
- Collect and track key performance indicators (KPIs), deliverables, and milestones.
- Assist faculty with technical and progress reporting by providing administrative support and data.
- Use tools like Power BI, Excel, or other platforms to visualize award performance and communicate outcomes.
- Coordinate timely and compliant closeout of grants and contracts, ensuring all deliverables and financial reconciliations are completed.
- Prepare documentation for audits and site visits; serve as a point of contract for auditors and sponsors.
- Provide orientation and guidance to faculty and staff on award management practices and compliance requirements.
- Contribute to newsletters, updates, and communication strategies that highlight compliance, best practices, and success stories.
- Support special projects to strengthen SGSR's research administration infrastructure
EDUCATION
- Bachelor's degree
- Equivalent combination of education and experience will be considered.
- At least one (1) year experience providing support in university grants and funding

- Experience supporting federal sponsors (NSF, NIH, DOE, DOD, USDA) and foundations (e.g., Gates, Casey, Mellon).
