About The Role
We are seeking a highly organized, client-focused Legal Assistant to support attorneys, assist with legal file work, and serve as a key first point of contact for prospective and existing clients.
This is a blended role for someone who can handle the polish and responsiveness of a strong legal secretary, the organization and document support of a capable paralegal, and the warmth and follow-through of an intake specialist. The right candidate is detail-oriented, proactive, calm under pressure, and genuinely enjoys helping clients while keeping a busy law office moving.
What Will You Do
Legal Assistant / administrative support
- Answer phones and respond to client communications professionally and promptly
- Manage attorney calendars, consultations, meetings, and deadlines
- Draft, format, proofread, and finalize correspondence and legal documents
- Open, maintain, and organize physical and electronic files
- Handle scanning, mailing, e-signatures, document routing, and general office coordination
- Keep case management and CRM systems accurate and current
- Assist with billing support, document collection, and administrative follow-up
- Handle new client inquiries by phone, email, website lead, and referral source
- Screen prospective clients using the firm’s intake standards
- Gather preliminary facts, conflict-check details, and needed documents
- Explain the consultation process and next steps clearly and confident
- Maintain accurate notes and pipeline status
- Follow up with leads who have not yet booked or retained
- Help identify missed opportunities, bottlenecks, and client service improvements
Qualifications
- 3 years of law firm experience preferred
- Experience in legal administrative support required
- Intake, client screening, or sales/process-follow-up experience preferred
- Excellent phone skills and client communication
- Strong grammar, proofreading, and document formatting ability
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office, Adobe/PDF tools, calendaring, and case management software
- Ability to handle confidential and sensitive matters with professionlism
Preferred Qualifications
- Prior experience in estate planning, probate, trust administration, elder law, family law, personal injury, civil litigation, or another client-intensive practice area
- Experience with e-signature tools, CRMs, and legal billing/case management platforms
- Ability to communicate warmly while also maintaining structure and boundaries
Pay: $42,000.00 - $50,000.00 per year
