What are the responsibilities and job description for the Assistant Project Manager position at Copeland Electric Co., LLC?
Job Summary: Supports the planning, coordina!on, and execu!on of overall project. Works
closely with the Project Manager, assis!ng in overseeing budgets, schedules, subcontractors,
procurement, and field opera!ons. Blends technical, administra!ve, and leadership
responsibili!es to ensure project stays on schedule, within budget, compliant with safety &
quality, and aligned with customer expecta!ons. Key to developing future project leaders.
Key Responsibili!es:
Project Coordina!on & Administra!on
- Assist in developing and maintaining project schedules, cost forecasts, and progress
reports.
- Track and manage RFIs, submi0als, change orders, and project documenta!on.
- Support the PM with contract review, scope management, and buyout ac!vi!es
- Coordinate with vendors for material procurement, lead-!me monitoring, and delivery
planning.
- Maintain mee!ng minutes, ac!on item logs, and weekly project updates.
Field & Installa!on Support
- Work with foremen and field supervisors to verify installa!on sequencing, manpower
alloca!on, and material needs.
- Assist in resolving field issues, clashes, or design inconsistencies.
- Support QA/QC processes, punch-list resolu!on, and closeout ac!vi!es.
Cost & Budget Control
- Track project labor hours, produc!vity trends, and equipment usage.
- Help prepare change order pricing, quan!ty takeoffs, and cost impacts.
- Review vendor invoices and subcontractor billings for accuracy and alignment with
project status.
Communica!on & Coordina!on
- Act as a liaison between:
- Design Engineers
- Field Teams
- Vendors and Subcontractors
- General Contractors
- Ensure clear communica!on of scope, deliverables, and schedule impacts.
Safety & Compliance
- Support enforcement of safety policies and electrical codes (NEC, NFPA).
- Conduct or par!cipate in site walks, safety audits, and toolbox talks as needed.
Key Performance Indicators (KPI’s):
Project Execu!on:
- Schedule Adherence – Milestone achievement rate and accuracy of look-ahead
schedules.
- Timeliness of Deliverables – RFI turnaround, submi0al processing, mee!ng notes, and
documenta!on updates.
Cost Control:
- Budget Variance Tracking Accuracy – Quality of cost reports, forecast precision, and
iden!fica!on of devia!ons.
- Material Procurement Efficiency – On-!me material deliveries vs. delays/impacts.
Quality & Risk Management:
- Issue Resolu!on Speed – Time taken to address design conflicts, field issues, or vendor
delays.
- QA/QC Deficiency Rate – Number of field rework items a0ributable to coordina!on or
documenta!on gaps.
Safety & Compliance:
- Safety Walks Completed – Frequency and quality of hazard iden!fica!on.
- Compliance Accuracy – Correct applica!on of NEC standards and inspec!on
preparedness.
Stakeholder Coordina!on:
- Par!cipa!on in Safety Processes – Site walks, hazard iden!fica!on, correc!ve ac!on
follow-through.
- Compliance Accuracy – Adherence to electrical code requirements and company
standards.
Communica!on:
- Stakeholder Sa!sfac!on – PM, superintendent, vendor, and GC feedback on clarity and
responsiveness.
