Position Summary:
We are currently seeking a Bookkeeper and Administrative Assistant to join our team. This role will report directly to the Office Manager and play a crucial role in ensuring the efficient operation of our business. This position is ideal for highly motivated individuals who are eager to advance their career and learn the intricacies of operations within the HVACR industry.
Key Responsibilities:
- Processing payments, invoices, income and receipts and entering data into accounting software or databases then filing hard copies.
- Preparing financial statements showing business income and expenditure.
- Paying vendor invoices and tracking bank account balances.
- Managing accounts receivable and assisting in collections.
- Verifying the accuracy of business accounts and alerting the Accountant of errors.
- Recording any inconsistencies to help the Accountants reconcile inaccuracies.
- Developing monthly financial statements including cash flow, profit and loss and balance sheets.
- Preparing employee wages, payroll, and 401k.
- Managing employee expense claims.
- Helping the Accountant and Office Manager with administrative duties and preparing yearly accounts.
- Develop and maintain strong working relationships with office staff and technicians.
- Assist in ensuring that all operations run smoothly and efficiently, contributing to the overall profitability of the service department.
Qualifications:
- Proficient in Quickbooks Online and Microsoft Office.
- Experience with CRM, dispatch, and payroll software.
- Highly motivated and willing to learn.
- Exceptional communication skills, with the ability to remain calm and composed in emergency situations.
- Proficient computing skills with a willingness to quickly learn dispatching and vehicle tracking programs, as well as working with online suppliers and vendors.
- Excellent organizational skills and the ability to multitask effectively.
- Sound judgment and critical thinking capabilities.
- Reliable transportation and punctual attendance are essential.
