The Front Office Clerk serves as the first point of contact for patients and visitors, playing a critical role in delivering a welcoming, efficient, and confidential patient experience. This position supports daily front‑office operations by managing communications, maintaining accurate patient records, coordinating appointments, and handling basic financial transactions in accordance with office policies and privacy regulations
Responsibilities
- Professionally answer and route incoming telephone calls in accordance with established office guidelines
- Obtain, review, verify, and update patient demographic and insurance information to ensure accuracy and completeness
- Issue and manage confidentiality, privacy, and HIPAA‑related documentation for patients and visitors
- Scan and index patient demographic and registration documents into the electronic record system
- Verify insurance coverage and eligibility
- Schedule, confirm, and manage patient appointments efficiently
- Contact patients with appointment reminders and follow‑up communications as needed
- Collect co‑payments & outstanding patient balances
- Perform end‑of‑day reconciliation, including balancing payments and preparing daily financial reports
- Maintain a high level of professionalism, confidentiality, and customer service at all times
- High School Diploma or equivalent required
- 1-2 years experience in medical office environment
- Microsoft Office suite (Word, Excel, Outlook) experience
- Strong communication, organizational skills, customer service, and knowledge of HIPAA regulations
- Works under general office environmental conditions
- Sitting for extended periods of time, utilizes close visual acuity for
- Occasionally required to stand; walk and stoop, kneel or crouch
- Able to lift 20 pounds occasionally
