Responsibilities
- Provide administrative support to attorneys, including managing calendars and scheduling appointments.
- Prepare and file legal documents, ensuring compliance with court rules and deadlines.
- Conduct legal research using Westlaw and other resources as needed.
- Assist in the preparation of case files and maintain organized records for ongoing cases.
- Conduct interviews with clients and witnesses to gather necessary information for cases.
- Communicate effectively with clients, opposing counsel, and court personnel while maintaining professional phone etiquette.
- Support attorneys during trial preparation by organizing exhibits and evidence.
- Manage correspondence related to cases, including drafting letters and memos as required.

Job Overview: The Civil Litigation Secretary will provide essential support to our attorneys by performing a variety of legal tasks, including preparing and finalizing documents, managing case files and calendaring, handling litigation filings and assisting with client communication. The ideal candidate will possess strong organizational and communication skills, an eye for detail, and a proactive approach to handling client matters.
Key Responsibilities:
· Provide primary legal assistance to 2-3 attorneys, and others as needed.
- Assist attorneys in finalizing, serving and filing legal documents, including pleadings, motions, and discovery requests.
- Maintain and organize case files, ensuring that all relevant documents are accurately filed and easily accessible.
- Prepare and manage correspondence, including emails, letters, and other written communications to clients, courts, and opposing counsel.
- Assist in trial preparation, including organizing evidence, exhibits, and witness lists.
- Communicate with clients, witnesses, and other parties involved in cases as needed.
- Calendar filing deadlines and court dates and ensure that deadlines are met.
- Perform other administrative duties as required.
Qualifications:
- Minimum of 3 years of litigation experience as a Legal Assistant, Litigation Secretary or in a similar role.
- Knowledge of labor and employment law preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), legal research tools (LexisNexis, etc.), legal practice management software; type 70 wpm.
- Strong understanding of state and federal court processes, including e-filing, court rules, forms, calendaring, pleadings, and discovery procedures.
- Familiarity with legal terminology, processes, and documentation.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Willingness to work with a variety of people, including working with several attorneys simultaneously.
- Exceptional proofreading skills
- Strong work ethic, initiative, and ability to work independently.
