Position Summary:
The Administrative & Estimating Admin is a dual role to help support our rapid growth. You will work across the Company supporting various administrative tasks with the primary focus on supporting CS21’s estimating team by compiling cost data, maintaining accurate estimate components, and assembling professional proposal packages for new projects and service work orders. This role ensures that all required elements—labor, materials, travel, contingency, and other direct costs—are accurately documented and formatted for customer presentation. This position is key to producing timely, consistent, and competitive estimates in the automation and calibration services industry.
Essential Duties and Responsibilities:
· Enter cost data into standardized estimating templates, including labor, materials, mileage, travel time, shipping, contingency, and third-party costs.
· Assist in the preparation and formatting of customer-facing proposal packages.
· Coordinate with estimators and field managers to confirm job scope, site conditions, and labor resource needs.
· Prepare summary sheets, cost breakdowns, and supporting documentation for bid submissions. Strong Excel skills.
· Request and compile vendor and subcontractor quotes as needed.
· Ensure all estimates are organized, filed, and tracked for historical reference.
· Review and update estimate templates to reflect company pricing strategies and margin requirements.
· Support the procurement team with lead-time confirmations and vendor communications.
· Carefully enter cost data provided by field technicians, estimators, and engineering staff with a high degree of accuracy.
· Cross-check and verify all input data against source documents to ensure completeness and accuracy.
· Conduct a preliminary review of estimates to identify any pricing, labor, or cost anomalies that deviate from standard processes or historical benchmarks.
· Flag inconsistent entries or questionable cost data for further review by the estimating team or management.
· Other general administrative tasks you will own as well, answering phone calls, taking messages, and organizing internal workflows.
Qualifications:
· High school diploma or GED required, associate’s degree in business, construction technology, or related technical field preferred.
· 1–3 years of experience in administrative, estimating, or project coordination roles, ideally in the electrical, calibration, or automation services sector.
· Strong Microsoft Excel – an Excel project will be provided as part of the interviewing process
· Strong organizational and communication skills.
· Attention to detail with the ability to manage multiple deadlines.
· Familiarity with construction/technical estimating practices preferred.
· Experience with estimating software or ERP systems is a plus – Sage Intuit Construction would be a plus.
Work Environment:
Office-based with standard business hours on-site Monday – Friday in Dillsburg, PA
Occasional interactions with field and technical staff to clarify estimates or project details.
