Duties

  • Oversee employee onboarding and orientation programs to facilitate seamless integration into the organization.
  • Support the company through social media management and helping to find quality employee candidates through various hiring streams.
  • Assist in coordinating benefits administration, including health plans, retirement plans, PTO, and workers' compensation claims.
  • Field general employee questions, explain company policies, and generate reports.
  • Facilitate training and development sessions to enhance employee skills and promote a culture of continuous learning.
  • Work on administrative functions including data entry, credit card receipts, contract administration, purchasing assistance, and warehouse material transfers.

· Assist in payroll processing via QuickBooks Online.

  • Assist in scheduling and fixing timecard issues using QuickBooks Time.
  • Manage performance review scheduling/tracking.
  • Conduct exit interviews and handle offboarding paperwork.
  • Answer phones.
  • Make bank deposits and run errands – office supplies, printing, employee gift coordination.

Special projects

  • Compliance postings (labor law, required notices).
  • Assist in safety manual development and other safety-related responsibilities.
  • Maintain employee handbook/policy updates.
  • Improve onboarding process / create onboarding videos.
  • Improve/fulfill employee experience and incentives (branded clothing, PPE, holiday meal boxes, “pop-up” lunch at larger jobs provided by EMS to boost morale, ice chests with cold drinks for the crews in the summer, etc.).
  • Corporate-level training (e.g., coordinate our annual winter and summer training events).
  • Set up board meetings and VTO planning sessions as needed (logistics, scheduling, etc.).

Qualifications

  • Associate's degree in business administration or higher.
  • Bilingual (Spanish/English).
  • Experience handling confidential information with discretion while maintaining high standards of communication (you will be required to sign a confidentiality agreement).
  • Ability to manage multiple projects simultaneously using project management tools.
  • Ability to work efficiently within the Microsoft suite of software and most information technology systems without training on basic technological concepts.
  • Ability to identify and implement process improvements.
  • Communicate positively and promote an inclusive culture.
  • Notary certification preferred, or willingness to obtain it.
