Role Description
We are hiring Administrative Services Assistant III (ASA III) positions across several CCHP departments. These roles provide essential administrative and operational support that helps ensure our programs run effectively and efficiently. ASA IIIs support major functional areas within their assigned division, assist with data review and reporting, help coordinate departmental activities, maintain procedures, and contribute to the smooth daily operations of the health plan. These positions align with the County’s ASA III classification and function under general supervision as key administrative contributors to their department’s success.
Department Assignment Description
Pharmacy: The ASA III assigned to Pharmacy will support administrative operations for formulary activities, prior authorization workflows, reporting, and delegated oversight of our PBM. The role includes reviewing operational data, preparing summaries, tracking key projects, maintaining procedures, and supporting day-to-day coordination across pharmacy functions.
Provider Relations: The ASA III in Provider Relations will focus on provider engagement and liaison activities, helping strengthen communication between CCHP and network providers. Duties include coordinating provider communications and trainings, tracking inquiries, maintaining documentation on trends and needs, updating provider materials, and supporting initiatives that enhance provider interactions and experience.
Claims: The ASA III for Claims will support administrative activities related to claims processing and compliance. Responsibilities include reviewing operational and workload data, maintaining logs and documentation, preparing reports, coordinating workflow improvements, and assisting with procedures and audit-related materials.
Member Services: The ASA III in Member Services will support key administrative activities that help ensure timely and accurate service to members. This includes tracking department operations, reviewing inquiry and call data, preparing reports, updating member-facing materials, coordinating outreach, and maintaining documentation tied to service standards and member experience.
Business Operations: The ASA III assigned to Business Operations will assist with core administrative work across the health plan, including operational data review, project tracking, and the preparation of reports. The role also supports workflow monitoring, procedures, fiscal and purchasing tasks as appropriate, cross-department coordination, and documentation needed for audits and compliance.
Responsibilities
- Support the day-to-day administrative and operational activities of an assigned division.
- Coordinate and track departmental projects, timelines, deliverables, and follow-up activities.
- Organize meetings, prepare agendas and materials, document action items, and ensure timely completion of next steps.
- Gather, organize, and analyze operational data; prepare summaries, dashboards, and written reports.
- Maintain departmental tracking systems, logs, shared files, and documentation to support consistent operations.
- Assist with reviewing, updating, and maintaining department procedures, process documents, and workflow materials.
- Support cross-functional coordination to ensure clear communication and alignment across teams.
- Assist with the implementation of new processes or operational improvements within the scope of the classification.
- Support compliance activities by maintaining required documentation, preparing materials for audits, and helping ensure adherence to regulatory, contractual, and policy requirements.
- Monitor operational activities for compliance-related trends or issues and elevate concerns to leadership as appropriate.
- Assist with fiscal, purchasing, personnel, or contract-related administrative tasks depending on assignment.
- Prepare and organize materials for audits, regulatory reviews, and internal quality checks.
- May provide guidance to clerical or technical staff depending on assignment.
Qualifications
Education: Possession of a Bachelor’s degree from an accredited college or university with a major in business administration, public administration or a closely related field.
Experience: Three (3) years of full-time experience or its equivalent in an administrative staff position performing administrative, budgetary or personnel analysis.
Substitution for Education: Successful completion of at least 60 semester or 90 quarter units from an accredited college or university which included at least one three semester unit course in each of the following areas: (1) English Composition (2) Business or public administration, political science or government (3) Mathematics or Statistics and (4) Psychology or behavioral science; and two years full time experience or its equivalent in an administrative or staff capacity performing administrative, personnel or budgetary analysis which included the research, analysis and preparation of written reports; or an acceptable combination of qualifying experience beyond the two-year minimum education requirement may be substituted for the Bachelor’s degree.
Substitution for Academic Major and Experience: 1) One (1) additional year of qualifying experience may be substituted for the required academic required major; 2) Possession of a Master’s degree in public administration, business administration, or a closely related field may be substituted for the academic major or six months of the required experience.
