Job Overview
We are seeking a highly organized and detail-oriented Estate Administration Paralegal to join our dynamic legal team. Your expertise will support attorneys in navigating complex estate planning, probate, and estate settlement processes, while maintaining exceptional client service. Duties
- Prepare and review estate planning documents such as wills, trusts, powers of attorney, and advance directives with precision and attention to detail.
- Assist in the administration of estates and trusts by gathering necessary documentation, managing case files using legal case management systems like Lachner and tracking deadlines.
- Conduct thorough legal research using Westlaw, LexisNexis, and other legal research tools to support estate-related matters and ensure compliance with applicable laws including tribal law & regulations, UCC law, and environmental law where relevant.
- Coordinate with clients, beneficiaries, courts, financial institutions, and government agencies through effective interviewing techniques and professional communication.
- Draft legal documents such as affidavits, petitions, accountings, notices, and correspondence with clarity and accuracy.
- Review legal documents for accuracy, consistency, and adherence to procedural standards; perform proofreading and transcription as needed.
- Manage document review processes for estate files to ensure completeness and compliance with firm policies using document management systems.
- Maintain meticulous records of all estate transactions, court filings, correspondence, and client communications.
- Provide administrative support including scheduling appointments, managing calendars for attorneys involved in estate matters, data entry tasks, filing documents electronically or physically, and handling phone inquiries professionally.
- Stay informed on evolving laws affecting estate administration such as securities law changes or updates in probate procedures to enhance service quality.
Qualifications
- Proven paralegal experience with a focus on estate planning or estate administration is essential.
- Strong knowledge of estate law principles including wills, trusts, probate procedures, UCC law (Uniform Commercial Code), securities law related to estates, and tribal law & regulations if applicable.
- Proficiency in legal research tools such as Westlaw or LexisNexis; experience with PCLaw or iManage is highly desirable.
- Excellent organizational skills with the ability to manage multiple cases simultaneously while adhering to deadlines.
- Exceptional writing skills for drafting legal documents clearly and professionally; keen proofreading abilities are a must.
- Demonstrated experience in legal case management systems; familiarity with document review processes is preferred.
- Strong interviewing skills to gather accurate information from clients and stakeholders efficiently.
- Ability to handle sensitive information discreetly with high ethical standards.
- Effective communication skills coupled with professional phone etiquette for interacting with clients and team members alike.
- Knowledge of environmental law, family law, workers’ compensation law or patent law is a plus but not required.
- A proactive attitude combined with excellent clerical experience including data entry, filing systems (both electronic and paper), transcription tasks, and administrative support functions.
