A Medical Receptionist is the first point of contact for patients in a healthcare facility. With Contemporary Dermatology, this role is crucial in ensuring smooth and efficient daily operations, patient interaction, and administrative support to healthcare professionals in a high-volume, fast-paced environment. This role requires exceptional customer service, organization skills, and knowledge of basic medical office procedures.

Key Responsibilities

Patient Interaction

  • Welcome patients and visitors warmly and professionally upon arrival
  • Maintain patient accounts by obtaining, recording, and updating demographic and financial information
  • Use of an electronic medical record software (EMR), patient portal or appointment reminder system to manage scheduling, interact with patients, and update files and patients’ records
  • Verify insurance eligibility and patient financial responsibilities
  • Collect and process copayments, outstanding balances, and other patient charges
  • Assist patients in filling out insurance forms and other patient records
  • Minimize patients’ stress by anticipating their anxieties, answering questions, and maintaining a calm and orderly environment in the reception area

Appointment Scheduling and Management

  • Answer incoming calls promptly, addressing inquiries or redirecting calls to the appropriate department
  • Schedule, confirm, cancel, or reschedule appointments based on physician availability and patient needs
  • Ensure physician schedules are optimized to prevent double-booking or unnecessary delays
  • Communicate effectively with providers and medical staff to relay patient concerns, service delays, and manage patient care

HIPAA Compliance

  • Protect patients’ rights by maintaining accuracy of medical, personal, and financial information with the utmost confidentiality and in compliance with HIPAA regulations

Administrative and Clerical Tasks

  • Maintain the cleanliness and organization of the reception area, ensuring a comfortable environment for patients
  • Maintain office supply inventory by checking stock to determine inventory levels, anticipating needed supplies, and overseeing delivery of supplies
  • Collect, sort, distribute mail, messages or courier deliveries
  • Prepare and reconcile daily reports related to financial payments
  • Collaborate with other administrative and clinical staff to ensure seamless patient flow
  • Always maintain a professional demeanor and ensure compliance with office policies and procedures

Skills and Competencies

  • Strong verbal and written communication skills
  • Professional, friendly demeanor with the ability to interact empathetically with patients
  • Ability to multitask and manage responsibilities simultaneously, such as scheduling appointments, answering phones, and assisting with administrative tasks
  • Proficient in EMR and office software including Microsoft Office Suite (Word, Excel, Outlook)
  • Accuracy and attention to detail when entering patient demographics, scheduling appointments, and financial information
  • Adherence to HIPAA standards for protecting patient privacy and confidentiality
