AP Analyst

Title: Accounts Payable Analyst

The Accounts Payable Analyst will support a high-volume, fast-paced finance organization by managing invoice processing, supplier maintenance, and expense report workflow within an automated AP environment. This role requires exceptional attention to detail, strong customer service skills, and the ability to multitask and shift priorities based on urgency. The ideal candidate has hands-on experience with AI-driven or automated AP systems and can work effectively within a structured, process-driven finance setting.

• Process a high volume of invoices using automated AP tools, task-driven software, or OCR/AI-enabled systems.

• Respond to internal and external inquiries related to invoices, payments, discrepancies, and AP policies.

• Support supplier onboarding, maintain supplier records, and process supplier updates and changes.

• Process invoices through multiple paths, including automated workflow tools and direct entry into ERP systems.

• Upload invoice files (e.g., VIB files) and assist in reviewing and processing employee expense reports.

• Research and resolve AP discrepancies by collaborating with cross-functional teams.

• Maintain accurate documentation and ensure compliance with organizational financial controls.

• Manage shared AP inboxes and respond to inquiries professionally and in a timely manner.

• Purchase Order (PO) experience.

• 3 years of Accounts Payable experience in a technology-driven or automated AP environment.

• Experience working with automated AP tools, AI/OCR-driven systems, or workflow automation platforms.

• Strong attention to detail, organization, and ability to multitask in a fast-paced environment.

• Excellent written and verbal communication skills with a focus on professional, customer-service-oriented interactions.

• Experience working within similarly structured or mid-to-large-scale corporate environments.

• Familiarity with AP automation solutions or AI-enabled invoice processing tools (e.g., Auditoria is a plus).

• Experience with Concur Invoice or similar expense management tools.

• Hands-on experience with multiple ERP financial systems— Workday, SAP, PeopleSoft, or other large enterprise platforms.

• Background with business-process-driven systems or financial workflow automation.

• MS Office (Excel, Outlook, Word)

• ERP systems: Workday (preferred), SAP, PeopleSoft, or comparable platforms

• AP automation tools: Auditoria (strong plus), OCR/AI invoice processing tools

• Expense systems: Concur Invoice or similar solutions

• Begin the day processing invoices through an automated AP system (e.g., task-driven or AI-based software).

• Manage AP helpdesk items and respond to a variety of internal and external customer inquiries.

• Research invoice issues, verify approvals, and ensure accurate coding and PO matching.

• Perform supplier setup, onboarding, and record maintenance activities.

• Enter and review invoices directly within the ERP when required.

• Upload invoice batch files (such as VIB files) for processing and validation.

• Assist with expense report review, policy checks, and exception resolution.

• Work continuously within shared mailboxes, prioritizing tasks based on urgency and customer needs.
