Responsibilities
- Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel welcomed and valued.
- Support accounting operations by processing vendor invoices, reconciling vendor statements, creating spreadsheets to assist with projects and audit support.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office.
- Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications.
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
- Assist with clerical duties including typing correspondence, managing office emails, and supporting customer service inquiries.
- Provide support when needed, demonstrating flexibility across various administrative functions.
Requirements
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
- Prior experience working with multi-line phone systems and demonstrating professional phone etiquette.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Demonstrated customer service skills with a friendly demeanor and effective communication abilities.
- Experience with bookkeeping software like QuickBooks or similar is preferred but not mandatory.
- Previous roles such as front desk receptionist or personal assistant are advantageous.
- Bilingual abilities are highly desirable to serve diverse client needs effectively
