We are a growing, fast-paced construction service company in downtown Santa Barbara seeking an experienced office professional who can manage serious responsibilities while working comfortably in a relaxed, personality-filled environment.
JOB SUMMARY: This is a hands-on role for someone who takes ownership of their work, stays organized under pressure, and enjoys working with a team that’s hardworking, direct, and occasionally a little quirky. CORE RESPONSIBILITIES:
- Full-charge QuickBooks management — reconciliation, AP & AR
- Construction Billing: progress/multi-phase billing, lien waivers, insurance documentation, certified payroll, payment applications/schedules.
- Customer service & dispatch: Answering calls, scheduling service, following up with customers, tracking parts orders, dispatching technicians.
- Office coordination & problem-solving: Keeping things moving efficiently and proactively, monitoring accounts, collection efforts.
- Assisting sales team with estimating and project coordination.
- Oversee office staff in completion of office tasks, bank deposits, collections, scheduling, bill payments, filing, shipping and receiving, etc.
IDEAL CANDIDATE:
Must have a 4 years (combined) prior experience in construction, trades, or service-based office operations, property management, bookkeeping or similar background.
- Degree in finance, accounting, business, construction administration, human resources or relevant certificate program desired.
- Reliable and punctual — in-person, 7:00 AM to 4:00 PM Monday – Friday.
- Excellent multitasker with strong communication skills
- Able to adapt to different personalities and maintain professionalism without being overly rigid
- Someone who’s confident, proactive, and able to step up and make things happen
