The Senior Payroll Specialist is responsible for the accurate preparation, processing, reconciliation, and administration of payroll across a decentralized, multi-state organization. This role ensures compliance with federal, state, and local payroll regulations while supporting multiple sites and business units with varying operational needs.
The Senior Payroll Specialist works independently to manage complex payroll scenarios, partners with HR and operational leaders to resolve issues, and serves as a subject matter expert for payroll processes, systems, and compliance. Success in this role requires strong judgment, attention to detail, and the ability to operate effectively in a fast-paced, multi-site environment.
Essential Duties and Responsibilities
- Process payroll accurately and timely across multiple states and operational sites, accounting for varying pay practices, schedules, and regulatory requirements.
- Analyze payroll discrepancies and trends, identifying root causes and recommending corrective actions.
- Partner with HR, field leadership, and corporate stakeholders to resolve payroll issues arising from decentralized operations.
- Review monthly, quarterly, and annual tax returns.
- Continually learn tax law and policies for client support.
- Reviews, analyzes, and verifies payroll reports and documents for accuracy; makes necessary adjustments or corrections as needed Prepares and files a variety of local, state, and federal forms.
- Recommends or participates in the development of new procedures and policies related to payroll operations; assists with changes within payroll processing system; updates affected policy/procedure manuals.
- Develops financial, tax and payroll reports for both internal and external purpose; submits to Director of Payroll for review.
- Coordinates schedules and conducts system training sessions as needed.
- Initiates payroll processing quality assurance reviews: identities issues and/or problem prone processes to ensure optimal efficiency and error-free operations.
- Audit Workers Compensation and the 401(k) Retirement Plan.
