Title: Southeast Conservation Corps-Administrative Assistant III

Starting Salary Range: The starting salary range for this position will be in the $25.58-$26.34/hr. range, depending on experience, education, and skills relevant to the position. Please note that the indicated starting salary range describes the range for an incumbent in this position. Most new staff generally start at the beginning of the range percentile to ensure internal salary equity.

Location: Southeast Conservation Corps, Chattanooga, TN; on-site or partial remote

Status: Full-Time, Non-Exempt

Program Summary

Southeast Conservation Corps (SECC) operates conservation service programs throughout the Southeast that focus on meeting the needs of the natural landscapes while empowering youth and adults to cultivate compassion, responsibility, and life skills through community service, hard work, and land stewardship. As a corps program, SECC partners with public land managers to identify, plan and complete projects that improve public access, habitat quality and economic development. SECC is a program of Conservation Legacy, a nationwide network of conservation service organizations founded to move forward the legacy of the Civilian Conservation Corps.

Position Summary

The SECC Administrative Assistant III will support SECC programming by overseeing administrative functions and supporting recruitment and member support functions of the program. They will work with SECC leadership to develop and implement processes on board all participants and seasonal employees, oversee payroll administration, and support the management of grants and agreements. They will supervise SECC staff supporting recruitment, onboarding, and other administrative functions.

Outcomes & Functions Of Position

General Administration

  • Lead the format, workflow, report, and views creation and content of administration oversight in Salesforce.
  • Lead staff training on administrative processes and systems (onboarding, AmeriCorps, payroll, CHCs, etc.) and develop SECC training and operations guidance manuals.
  • Track grants and agreements in Salesforce and oversee the creation and submission of required reports in coordination with relevant program staff.
  • Maintain regular communication with SECC leadership and program staff; identify challenges and concerns and help strategize solutions.
  • Lead use of and serve as primary manager for multiple systems, including Truescreen, Axiom, Salesforce, eGrants, etc.
  • Work with Program and Central Support staff to support overall Administrative needs.
  • Oversee the administration and training of staff and crew leaders on organization’s Workers Compensation policy and procedures.

Payroll and Business

  • Manges, reviews, and oversees the accurate completion of payroll summaries and the general payroll process.
  • Serves as point person in implementing changes and updates to the payroll process as indicated by central staff and is responsible for training staff on these changes and updates.
  • Responsible for the accuracy and timeliness of bi-weekly payroll processing.
  • Setup users and enter data into payroll system; troubleshoot payroll issues.
  • Manage SECC credit card usage; train staff and crew leaders on proper credit card procedures, including appropriate expenses, receipt management, and budget compliance.
  • Lead and manage manual check writing process, including assurance of completion of needed paperwork, issuing checks, tracking checks, and monthly reporting to Business Office.
  • Lead office supply ordering and management; support office facility management.

Grants Administration and Compliance

  • Maintains grant calendars, reporting schedules, and documentation to ensure timely submission of all grant reports and required materials.
  • Coordinates with program, finance, and development staff to collect, verify, and compile grant data, outcomes, and supporting documentation.
  • Supports grant proposal development by gathering programmatic information, organizational data, budgets, and supporting materials.
  • Maintains organized grant records and files in accordance with organizational policies and funder requirements.
  • Assists in developing internal systems and procedures that improve grant management, reporting accuracy, and compliance.

Recruitment and Member Onboarding

  • Ensure the process of collecting upcoming seasonal staff and participant documents complies with internal and external requirements.
  • Develop and refine selection/hiring, exiting, and payroll processes to ensure all participant files are accurate and compliant with federal, state and AmeriCorps requirements.
    • Including onboarding, criminal history checks (CHC), driver insurability.
  • Administer and track Public Land Corps hiring authorities.
  • Supervise Recruitment and Member Support Coordinators and provide backup for their duties as needed, including processing I-9 and E-Verify for employees and members.
Organizational Advocacy

  • Successfully engages, leads and supports a positive work environment for all within the organization and the communities we serve.
  • Leads and/or participates in organizational-wide teams, projects and initiatives that support the work of the Strategic Plans goals.
  • Reports any potential complaints within the organization as identified in the Personnel Policy Manual.
  • Assists or leads other responsibilities, as assigned.

Qualifications

  • Minimum of 4 years working in administrative coordination or management and/or Bachelor’s degree in Business, Accounting, or a related field.
  • Minimum of 2 years’ experience with training, onboarding, evaluating, supervising, and motivating staff.
  • Experience with Salesforce CRM or similar system.
  • Ability to operate Microsoft Office programs and applications, or similar platforms.
  • Ability to keep others and oneself, in remote locations, accountable to expectations.
  • Valid Driver’s License and Insurable Driving Record per Personnel Policies.
  • Must be able to pass the organization’s criminal history check requirements.
  • Ability to successfully work in a fluid, changing work environment.
