Job Summary:
The Production Assistant supports the Project Manager and project team in planning, executing, and closing projects efficiently. This role ensures clear communication, accurate documentation, and timely coordination between field operations, vendors, and clients. The Production Assistant plays a critical part in maintaining schedule integrity, cost control, and compliance with company policies.
Duties/Responsibilities:
- Assist Project Managers in preparing project schedules, submittals, RFIs, and change orders.
- Track project progress, deliverables, and deadlines through project management software (e.g., Procore, MS Projects).
- Maintain accurate project documentation including contracts, drawings, correspondence, and meeting minutes.
- Support billing preparation by collecting field reports, verifying quantities, and ensuring timely invoicing.
- Serve as a primary point of contact between the office, field teams, vendors, and clients.
- Coordinate materials, equipment deliveries, and subcontractor scheduling.
- Ensure all stakeholders are informed of project updates, deadlines, and potential issues.
- Schedule and document project meetings and distribute follow-ups.
- Assist in project budgeting, cost tracking, and forecasting.
- Review purchase orders and vendor invoices for accuracy and approval routing.
- Generate progress reports, status updates, and project closeout packages.
- Ensure all safety, quality, and regulatory documentation is completed and filed properly.
- Support compliance with company policies and client standards.
- Help track inspections, punch lists, and warranty documentation.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and project management software (Procore, MS Projects, etc.).
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field preferred.
- 2 years of experience in project coordination, preferably within construction, mechanical, or HVAC industries.
