Position Summary:
The Secretary/Receptionist position is responsible for greeting and directing the public, answering the phones and directing calls, taking and distributing messages for staff, typing, filing, and general office duties as assigned. The position performs a wide variety of secretarial and clerical duties.
Qualifications:
- High school diploma or GED.
- Minimum of one (1) year of office experience.
- Fluent language skills in English and Spanish
- Working knowledge of computers and their usage, including PowerPoint, Word, Excel, etc.
- Ability to type 50 WPM.
- Good organizational, written and verbal communication skills.
- Valid Oregon driver’s license, personal auto liability insurance, and a driving record that permits coverage under the agency’s corporate auto liability.
- Successfully complete a thorough background investigation, including: criminal history check, reference check, employment history, educational verification, or licensing. Arrest and/or conviction of a crime does not automatically disqualify an applicant.
General Duties and Responsibilities:
- Greet and direct visitors with professional, positive, helpful and attentive assistance.
- Answer Connections365 main phone lines in a professional, positive, helpful and attentive manner. Route calls timely and appropriately.
- Provide front desk services in either Spanish or English as dictated by the needs of the client, family member, or visitor.
- Scheduling and checking insurance for clients.
- Type reports, forms, brochures, correspondence, etc., as assigned by the management team and supervisor.
- Document and review monthly BRS paperwork to ensure compliance.
- Copy and fax for agency employees as approved by supervisor.
- Ingoing and outgoing mail, including postage stamping, pickup, routing and distribution.
- General filing to include client files for Connections365 Case Managers.
- Maintain and order supplies including neat and organized upkeep of supply rooms.
- Monitor youth in reception area and provide feedback to case managers as appropriate.
- Responsible for daily upkeep of the reception, meeting rooms and break-room area.
- Keeps a well-organized office and procedures system.
- Office errands as assigned by supervisor.
- Troubleshoot office machine problems (copiers, phone lines, computers, etc.) as requested by staff. Problem solve when the systems break down and provides helpful feedback to Connections365 employees.
- Miscellaneous tasks as assigned by Management team members and supervisor.
- Maintain various calendars including Connections365 vehicles and meeting rooms.
Work Schedule:
Unless otherwise stated, the position is full-time, 35-40 hours per week, Monday-Friday.
