What are the responsibilities and job description for the Administrative Assistant position at Connections?
JOB SUMMARY:
In conjunction with Connections mission to support people with disabilities, this position will provide office support to the management staff of the agency and must understand and complete some bookkeeping functions, personnel functions and will be responsible for all front desk functions of the agency, inclusive of answering phones and greeting clients, guests, and staff. The position will report to the Director of Operations, but will provide support to other senior managers as well as to the Executive Director.
SPECIFICATIONS:
The position requires a high school diploma or equivalent, but education in administrative work is preferred. The position requires proficiency Microsoft Office Suite.

- Must have the ability to work independently with minimal supervision and possess a professional and respectful demeanor.
- Must demonstrate strong oral and written skills.
- Must have the ability to develop, manage, and utilize spreadsheets in Excel and be proficient in the Excel program
- Must submit to and clear a background check as required by the Department of Human Services.
- Must have a valid driver’s license and proof of insurability unless otherwise approved by the Executive Director.
PHYSICAL REQUIREMENTS:
Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of the position can be fully met. Lifting or carrying occasionally up to 25 pounds.

SCHEDULE
Hours of agency operation are Monday to Thursday from 8:00 AM - 4:30 PM and Friday 8:00 AM - 12:00 PM. This position is paid for 40 hours per week but scheduled for 36 hours per week.
ESSENTIAL FUNCTIONS:
- Responsible for the overall day to day front office functions
- Greet and direct clients and visitors of the agency
- Answer telephone calls and direct calls properly through the phone system
- Assistance with ensuring agency supplies are ordered, received, and properly put away
- Proficiency with Microsoft Office software including Word, Excel, and Outlook
- Assistance with preparation and distribution of mail
- Occasional light cleaning including dusting and vacuuming halls and lobby
- Assistance with fiscal assignments and support to Administrative Team on an occasional basis
- Assistance with bookkeeping duties as assigned
- Assistance with HR duties as assigned
- Assistance with other fiscal tasks as assigned by the Director of Operations
- Provide administrative support for the agency as assigned
- Provide all other administrative functions as assigned

- Responsible for tracking own in-service hours as needed
- Complete Incident Reports, Emergency Use of a Controlled Procedure, and Seizure reports as needed
- Uses time effectively and actively pursues available agency projects as schedule allows
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
