The bookkeeper's responsibilities are as follows:
We would like to hire a Bookkeeper to handle our company's day-to-day financial tasks.
You will be responsible for accounts payable, accounts receivable, payroll, and reconciliation of all bank and credit card accounts. To do well in this position, you should have previous experience as a Bookkeeper and be very familiar with QuickBooks. You should also have previous experience with accrual accounting and month-end close journal entries. Previous experience with year-end audits is a plus.
The bookkeeper's responsibilities are as follows:
Daily
- Issue Invoices for all classes, seminars, and events
- Receive payments for all invoices posted to QuickBooks. Dues revenue is recognized on an accrual basis; therefore, dues must also be posted to a spreadsheet.
- Post all bills to QuickBooks.
- Answer phone calls, messages, and emails pertaining to any financial matters within the company.
Weekly
- Manage the automatic payroll process, and make any necessary changes before issuing direct deposits.
- Submit all bills to the supervisor for payment approval.
- Once approved, pay all bills. This task may include printing checks, creating or changing automatic payment settings in various vendor systems, or issuing bill payments, via the company's banking system.
- Pay employee payroll deductions for 401(k) and HSA's.
- Submit 401(k) deposit rosters to an external 401(k) administration company.
Monthly
- Import transaction data from banks and credit card companies into QuickBooks via the QuickBooks bank feed system.
- Export payroll data from payroll processor to Excel. Modify data formatting as needed.
- Import payroll data into QuickBooks.
- Reconcile bank accounts and credit cards.
- Export tax payment data from payroll processor. Modify formatting as necessary and import it into QuickBooks.
- Process intercompany transactions and import them into QuickBooks.
Prepare monthly financial statements for review by the treasurer. Make any changes, as requested, and issue revised drafts.
Present financial statements to the finance committee, executive committee, board of directors, and school advisory board, respectively, in cooperation with the treasurer.
- Prepare monthly dues mailing of all open invoices in the first week of each month.
Quarterly
- Prepare Connecticut OS-114 Sales and Use tax returns.
- Calculate and submit Student Protection Account payments to the Office of
Higher Education
Yearly
- Renew Yearly Incorporation documents with the Secretary of State for both entities.
- Yearly, work with the Auditor to complete the audit in a timely fashion to present the financials to the state before the due date.
- Prepare Budgets for CEMA & ENTECH
- File any tax reports due to the town of Cromwell (e.g., real estate, personal property).
- Review and make recommendations as necessary on the dues formula.
As needed
- Negotiate payment plans with students.
- If attempts to arrange payment are unsuccessful, refer accounts to outside collections agencies.
- Submit specific project invoices to the National Oilheat Research Alliance
(NORA) and coordinate, as needed, with the program director to ensure receipt of funds.
- Recommend new bookkeeping technology to maximize efficiency.
Responsibilities performed outside of the Bookkeeper's Functions:
- Assist with answering the phones
- Assist with arranging for any repairs that need to be completed in the building.
- Arrange bids and collect bids for any building improvements that need to be done.
- Assist with ordering office supplies
