Job Summary
We are seeking a highly organized and motivated Receptionist/Administrative Assistant to join our team. This role is essential in providing excellent customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, be proficient in various office software, and demonstrate a commitment to professionalism in all interactions.
Duties
- Greet visitors and clients warmly, providing a positive first impression of the organization.
- Manage phone systems, directing calls appropriately and handling inquiries with excellent phone etiquette.
- Perform clerical duties including data entry, filing, and maintaining organized records.
- Assist with calendar management and scheduling appointments.
- Provide administrative support including proofreading documents, preparing reports, and managing correspondence.
- Support customer service efforts by addressing client concerns and providing information about services offered.
- Maintain office supplies inventory and assist with office management tasks to ensure an efficient work environment.
- Collaborate with team members to streamline processes and improve overall office operations.
- Work up and perform entry tests on patients; willingness to learn more skills in this area and perform at a higher level as an eyecare technician.
Skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong computer skills with the ability to learn new software quickly; experience with Electronic Medical Records systems is a plus.
- Excellent organizational skills with attention to detail for accurate data entry and filing.
- Bilingual abilities are preferred to enhance communication with diverse clientele.
- Previous experience as a medical receptionist is advantageous but not required.
- Demonstrated customer support experience with a focus on delivering exceptional service.
- Effective time management skills to prioritize tasks in a fast-paced environment.
- Typing proficiency along with strong proofreading abilities for quality assurance of documents.
