Position Summary

Under limited supervision, independently coordinates and performs a variety of managerial and operational support duties as delegated by the HIM Operations Manager. Utilizes considerable judgment in interpreting departmental policies and procedures to resolve routine to complex inquiries or problems. This position reports directly to the HIM Operations Manager.

Job Duties

Management of Staff

HIM Operations Assistant Manager supervises HIM Data Integrity and Document Processing staff in order to effectively manage staff performance to include goal setting, performance evaluation, competency assessment, developmental feedback, and coordinate employee schedules for adequate coverage.

Manage and Administer Policies and Procedures

  • Effectively manage and administer hospital departmental policies and procedures.
  • Work with HIM Operations Manager to make and implement decisions compatible with organizational and departmental goals.

Monitor Operations

Responsibilities include but are not limited to :

  • Oversee the prepping, scanning, indexing, and QA of scanned documents by the HIM staff;
  • Oversee the document correction and interface error processes;
  • Oversee merges of patient MR# duplicates, review patient overlays and chart corrections;
  • Oversee the maintenance of the file rooms and all filing functions.
  • Ensure timely, accurate, and complete clinical data and patient demographic information is readily available in support of hospital operations.
  • Regulatory Compliance

    Work with HIM Operations Manager to ensure that job performance by HIM staff is in compliance with Joint Commission, Medicare, Medicaid, HIPAA and Federal and State standards and regulations.

    Monitoring and Reporting

    Works with HIM Operations Manager to monitor production and report statistical data to demonstrate productivity and accuracy of HIM operations on a regular basis.

    Projects and Committees

  • As delegated, works with the HIM Operations Manager on special HIM related projects and may be asked to serve as a member or leader of designated committees or initiatives.
  • Responsible for collaborating with other departments to mitigate silo workflows and gain lean efficiencies within the organization.
  • Assist other departments with HIM or system related questions or concerns.
  • Human Resource Management

  • As assigned by the HIM Operations Manager, the HIM Operations Assistant Manager will design, establish and maintain an HIM Operations staffing plan that effectively accomplishes the HIM department's goals and objectives.
  • Participates in and provides oversight to the selection of employees for the department.
  • Provides appropriate development opportunities to ensure staff is competent in performing their assigned functions and continually improving their performance.
  • Communicates expectations, provides ongoing coaching / feedback, objectively assess and / or provides input to employee performance and provide appropriate rewards and recognition.
  • Continuous Quality Improvement

  • The HIM Operations Assistant Manager is responsible for working with the HIM Operations Manager to design and implement new procedures to improve effectiveness and efficiency of HIM Operations.
  • Holds self and team members accountable for quality outcomes and continuous quality improvement.
  • Develops and implements training and education to staff members as well as associated departments to close quality gaps.
  • Self Development

  • Establish and maintain self as a professional expert and resource to the Organization, Patients, Families and the Community.
  • Participate in appropriate professional organizations and continuing education programs
  • Supervisory Duties (if applicable)

    The HIM Operations Assistant Manager will work with the HIM Operations Manager to manage direct responsibility for the document processing and data integrity staff. The staff includes approximately 8-10 employed FTEs plus supervision of other temporary or supplemental staff. Other supervisory related duties are mentioned above.

    Qualifications

    Minimum Education and Experience Required

    Minimum of 3 years of experience in Health Information Management; previous supervisory and / or Bachelor's degree experience preferred.

    License and / or Certification

    Required : N / A

    Preferred : RHIA (Registered Health Information Administrator) or RHIT (Registered Health Information Technician) certification preferred.

    Knowledge, Skills, and Abilities

    Knowledge of :

  • Electronic medical record and core HIM Operation functions
  • Document management and imaging
  • Merging duplicate records and other related ancillary chart corrections
  • Chart completion and chart deficiency tracking
  • Release of information
  • Skilled at :

  • Excellent communication skills, including written and oral communication.
  • Expert user of Microsoft Office applications
  • Ability to :

  • Organize resources and establish priorities
  • Collect data, analyze data, and use data to monitor performance and solve complex problems
  • Be self-motivated, adaptable and flexible
  • Identify gaps in processes and provide resolution and feedback to staff members involved
