Primary Purpose:
Assist Assessment staff with clerical duties.
Qualifications:
Education/Certification:High school diploma or GED
Special Knowledge/Skills:
Proficient skills in keyboarding, data entry, word processing, and file maintenance
Ability to prioritize workflow to address the multiple needs of the supervisor or the department
Organizational, communication, and interpersonal skills
Ability to be flexible and to grow professionally
Experience:
Two years secretarial experience
Major Responsibilities and Duties:
Records, Reports, and Correspondence
- Travel between schools, on an as needed basis, to perform duties assigned by Diagnostician
- Schedule ARD meetings so that all necessary participants can attend, keeping in mind each campus’s specific scheduling needs (ex., lunch blocks, special schedules, dismissal duty), classroom teachers’ daily schedules, and parents’ scheduling needs
- Contact and invite parents to ARD meetings; Send printed notices, invitations, and reminders.
- Invite appropriate campus personnel to individual students’ ARD meetings
- Determine if special committee members (nurse, School Psychologist, behavior specialist, interpreter) are needed, and invite those members as advised by assessment staff
- Reserve meeting rooms by communicating with appropriate campus staff
- Process "Notice of Meeting" ARD forms by completing the form, mailing to parents, sending reminder notices to parents, verbal communication with parents and documentation of contact efforts.
- Re-route communication from parents and staff members to the appropriate Staff members.
- Distribute feedback instructions/documents to teachers
- Maintain folders in the correct order as mandated by district guidelines as per supervisor's directions
- Receive and direct incoming telephone calls for the Special Education department when needed
- Access records in Special Education Program.
- Assist in archiving and disseminating documentation as required
- Assist in organizing and collating of ARD documents at the completion of each meeting
- Assist in the preparation of Annual ARD Meetings.
Other
- Promote a positive attitude toward special needs students and services.
- Maintain confidentiality of all special education records, student and parent information
- Comply with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned
- Maintain positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrate team work in daily activities
- Is prompt, timely and thorough in completing assignments and attending to details accurately
- Meet attendance standards and complies with notification procedures for absence
- Provide complete and accurate information in the conduct of district business
- Comply with district policies, as well as state and federal laws and regulations
- Conduct oneself in a professional, ethical manner, in accordance with generally accepted community standards; complies with TEA code of ethics
- Adhere to the district's safety policies and procedures
- Participate in staff development training programs to improve job performance
- Participate in faculty meetings and special events as assigned
