SUMMARY: Serve as an Administrative Assistant to the principal and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, record keeping and building permits.
ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.
Administrative Assistant/Secretarial
Serve as confidential Administrative Assistant to the Principal
Manage the office/phones radios and front door
Act as liaison between principal, staff and community
Greet and assist people entering the building
Answer phones, respond to routine questions, route student and staff messages
Assist students and staff as needed
Assist in conducting and recording of all drills and real events
Provide assistance to the responsibility room as necessary with students and phone calls
Process building maintenance requests in the FMX program
Maintain the mailing and receipt of student records
Attend trainings, workshops and meetings as needed
Maintain copy machines, printers and laminator for maintenance and supplies
Collect and submit volunteer background checks for approval on line
Do the daily announcements at the end of the day and as needed throughout the day
Help coordinate student pictures
Help coordinate fundraisers
Financial
Place and receive orders and check requests
Track teacher and office spending and T & A Accounts
Reconcile credit card bills monthly
Make and record deposits
Oversee parent group fundraisers and deposits and help as needed
Payroll
Create and compile timesheets for all hourly employees
Pupil Accounting
Run state error check program and complete all paperwork for state reports
Power School
Complete all daily attendance and run reports
Enroll and Exit students
Keep student info updated
Maintain school year and master schedules
Complete End of Year process
Keep the district office and other district departments informed of new students
Update and coordinate back to school mailings for students
Clinic
Determine if students are sick and need to go home. If not, watch them until they feel well enough to go back to class
Take student temperatures as needed
Make calls to parents if students need to go home because of illness or injuries
Treat injuries and bloody noses
File accident reports for students and staff as needed
Administer medications to students as needed including insulin and Epi pen shots
Know how to do CPR and how to operate the defibrillator machine
Assist with head checks and call parents when necessary
MCIR
Enter and maintain immunization records for all students and submit state reports twice per year

Maintain the Congress calendar on the website

Maintain and update the majority of the Congress Facebook page with current photos and information
RedRover
Oversee staff absences to be sure we have coverage for the classrooms when their teachers are gone
Print daily reports for the subs to sign and fax them to the District Office
SUPERVISORY RESPONSIBILITIES: Students and Parent Helpers
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:
Minimum of High school diploma, some college preferred; plus three to five years in general office work and/or training; or equivalent combination of education and experience.
Knowledge of spreadsheets and word processing (computer applications).
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of parents or employees of organization.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS and ABILITIES:
Must type 55 Words per Minute. Ability to operate office machines and personal computer and related software. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
