Job Title: Church Operations Administrator
Location: Congregational Church of the Peninsula, Belmont CA
Job Type: Part Time / 25 hours per week
Job Summary: We are seeking a dedicated and organized Church Operations Manager to assist our volunteer staff with oversight of key administrative functions of our church. The ideal candidate will be responsible for managing the church building, guiding people resources, internal processes, legal compliance, and financial planning to ensure the smooth operation of activities. This role reports directly to the Board of Directors.
Key Responsibilities:
The Church Operations Administrator manages building operations, internal processes, and human resources functions to ensure the smooth administration of the church.
The Church Operations Administrator's key responsibilities fall into three main categories:
Building Management:
- Coordinate major maintenance projects with contractors and church leadership.
- Creating and maintaining a vendor and materials list for building maintenance.
- Developing a recurring task calendar for building maintenance.
- Managing event rentals (advertising, inquiries, booking, contracts, on-site hosting, process enhancement).
- Acting as the main contact for regular building tenants (rent payments, maintenance inquiries, lease updates).
- Managing and distributing building keys.
- Taking a proactive role in building walkthroughs and tenant relationships.
Internal Processes:
- Assisting with annual budget planning and analysis.
- Ensuring compliance with laws, governmental forms, taxes, and standard operating procedures.
- Managing electronic reimbursement and payables.
- Assisting with year-end contribution reporting. Maintaining donor contribution tracking and record-keeping with the Financial Secretary while maintaining current confidentiality standards.
- Managing all property, liability, umbrella, and workers' compensation insurance.
- Coordinate response to information requests from governmental agencies
- Respond to information requests from leadership and staff.
- Maintaining a central repository for church policy documentation and meeting minutes.
- Researching and implementing software for administrative efficiency.
- Ensuring website technology is maintained and updated.
Human Resources:
- Acting as the benefits administrator.
- Onboarding new employees (handbook overview, eligibility documents, background checks, benefit enrollment).
- Running and maintaining payroll and time tracking systems.
- Creating and maintaining confidential personnel files.
- Tracking employee time off.
- Ensuring the employee handbook is up to date.
- Assisting with mandated reporting and background checks.
- Assisting with human resource issues as needed.
- Staying up-to-date with human resource and labor laws.
Schedule:
- Flexible schedule, to be spread across 4 or 5 working days. Highly preferred that one of those 4 days is a Saturday (specific start/end time negotiable).
Job Type: Part-time
Pay: $30.00 - $35.00 per hour
