Congregation Coordinator (In Person) | 25–30 hours per week
Position Overview
Congregation Beth Israel (Colleyville, TX) seeks a warm, organized, and proactive Congregation Coordinator to support the synagogue’s daily operations. This role serves as the primary administrative contact for congregants and visitors and provides coordination across office operations, financial processes, communications, event logistics, and membership support.
The Congregation Coordinator works in close partnership with the Rabbi, Board leadership, Religious School Director, and volunteer committees—helping to implement priorities and support initiatives established by synagogue leadership—while ensuring smooth operations and a welcoming community environment.
Schedule: This position is in-person with current on-site hours of Tuesday–Thursday, 11:00 AM–5:00 PM, and Friday, 11:00 AM–7:00 PM. Hours may be adjusted based on organizational needs, limited to 30 hours a week. Salary based on experience, range $18-$22 per hour.

Key Responsibilities
Office Administration & Congregant Support
- Contact for congregants, visitors, and community inquiries
- Manage incoming calls, emails, and mail distribution
- Maintain organized office systems and administrative records
- Order supplies
- Provide administrative support to the Rabbi and Board, including preparation of materials and notices
- Maintain list of synagogue projects and programs
- Perform other job-related duties as assigned
Financial Administration
- Process incoming payments and prepare deposits
- Track vendor invoices and organize reimbursement requests
- Prepare checks as directed
- Support Board financial reporting needs
Membership & Community Engagement
- Contact for prospective and new members
- Maintain prospect lists and coordinate introductions with the Membership Committee
- Support membership onboarding and account setup
- Assist with congregational care coordination
Communications
- Prepare congregation-wide communications including newsletters and announcements with Canva
- Maintain website updates and calendar information
- Coordinate communications with Rabbi and leadership
Events & Program Logistics
- Coordinate events and programs logistics
- Support scheduling, vendor coordination, and supply procurement
- Assist committees and volunteers with event preparation
Building & Facility Coordination
- Coordinate maintenance scheduling with vendors and the House Chair
- Monitor completion of cleaning and maintenance work
- Manage facility access and security coordination
- Help maintain orderly common areas within the synagogue
Systems Coordination
- Use ShulCloud (management software / CRM platform) for day-to-day tasks such as account reviews and updates
- Work with the ShulCloud consultant to request more complicated reports, forms, billing configuration, and system updates
Qualifications
- Strong organizational and interpersonal skills
- Excellent communication and customer service abilities
- Comfort with database systems and Microsoft office technology
- Familiarity with Quickbooks
- Ability to manage multiple priorities and work collaboratively with volunteers
- Experience with Canva and Facebook
- Experience using ShulCloud or similar systems preferred
- Proven ability to maintain the highest level of confidentiality regarding financial information, donor records, and congregants’ personal data.
Pay: $19.00 - $22.00 per hour
