Office Coordinator

About Congregation Bet Haverim
Congregation Bet Haverim is a Reform synagogue in Davis, California. Serving as Yolo County's only synagogue, it acts as a vibrant hub for Jewish life. Founded over 50 years ago, CBH offers worship, education, social events, youth programming, and a community preschool open to all Davis residents.
CBH provides a supportive working environment with a flexible team committed to facilitating a diverse array of programs. The busiest period runs from July through the Jewish High Holidays. The Office Assistant reports directly to the Executive Director, collaborates closely with office staff, and provides high-level customer support to congregants. Applicants should demonstrate strong organizational abilities and the capability to thrive in a dynamic, sometimes-noisy environment with frequent interruptions.
Key Responsibilities
- Staff Administrative Support: Prepare and distribute agendas, forms, program materials, and reports.
- Filing & Organization: Maintain digital and physical filing systems across Share Drive, Google Drive, and physical filing cabinets. Assist the Executive Director with general office organization and special projects.
- Customer Service: Greet guests and handle primary phone and email communications with warmth and professionalism.
- Event & Meeting Logistics: Assist the Executive Director with special event logistics. Provide Zoom and technical support for meetings, services, and events.
- Database Management: Maintain and update accuracy within the membership database.
- Operations: Manage office equipment and vendor appointments.
Required Skills & Competencies
- Education: Bachelor’s degree required.
- Organization: Strong organizational and time-management skills; demonstrated ability to move a project from conception to completion.
- Communication: Excellent writing, editing, and clear verbal communication skills. Ability to interact effectively with adults and children of all ages.
- Customer Service: Strong background in customer service with a pleasant, friendly demeanor.
- Technical Proficiency: Competent with Microsoft Word, Excel, MailChimp, Google Drive, and shared drives. Accurate data entry skills and familiarity with Customer Relations Databases.
- Adaptability: Ability to work independently and collaboratively as a team member in a changing environment.
Preferred Qualifications (Pluses)
- Experience with faith-based or nonprofit organizations.
- Knowledge of Jewish holidays and life-cycle events.
- Experience with website maintenance.
Work Environment & Schedule
- This is an onsite customer service role.
- Shifts consist of half days or full days.
- Required Days: Tuesday, Wednesday, and Friday. Other hours are flexible, and weekend availability for support is occasionally required.
- Physical requirements include lifting office supplies/materials and sitting or standing at a desk for extended periods.
