Job Overview:
The Facilities Coordinator is responsible for managing and maintaining an efficient and safe work environment. This role supports the day-to-day operations of the office, coordinates facility services, and ensures that all maintenance and repairs are completed in a timely manner. The Facilities Coordinator works closely with internal teams, external vendors, and building management to ensure the office environment supports Service by Medallion’s productivity and culture.
This is a part time role: Tues, Wed, Thursday 8am-2pm
Pay range: $42-$46/hr
Essential duties include, but are not limited to:
- Facilities Coordinator will work with the Workplace Operations team to maintain a class A office environment conducting regular office inspections to identify maintenance, cleaning, and operational issues
- Daily workplace maintenance including loading/emptying dishwasher, restocking kitchen pantry, tidying up and organizing conference rooms and common spaces
- Spot cleaning and restocking of restrooms (as needed)
- Frequent wipe down of kitchen break area tables
- Spot cleaning glass entry doors and interior glass in client area
- Proper removal of over-filled waste receptacles; insert new liners
- Coordinator will also perform or supervise minor repairs in the areas of plumbing, carpentry, and painting
- Prepare and submit daily and weekly checklists/reports of facilities-related issues
- Handle installation, disassembly, moving and general repairs of office furniture or equipment
- Oversee and direct external maintenance personnel engaged in equipment installation, repair and/or preventative maintenance
- Input and follow up on work orders for facilities-related requests; reconcile work order invoices
- Set up workstations for new team members
- Respond to all facility inquiries and complaints, assess problems, and take the necessary corrective action
- Remain knowledgeable regarding all operational aspects of building systems
- (Note: Employee has limited knowledge of HVAC and these repairs to be handled by others)
- Follow protocol for effective building-specific maintenance and safety procedures
- Create work orders and assign work orders to the engineering staff, subcontractors, and vendors
- Communicate frequently with the Workplace Operations team, landlords, and vendors to resolve issues and provide project status updates
- Assist with onsite events when requested
- Assist on escorting clients or guest when requested
- Coordinate incoming/outgoing domestic & international packages and mail with common carriers (USPS, UPS, FedEx)
- Prepare conference rooms for meetings; partner with IT to troubleshoot tech as needed.
- Maintain office supply and pantry inventory, placing new orders on prescribed schedule or as needed
- Provide catering & meeting assistance
- Inventory and order all office supplies and beverage needs
- Provide logistical support for in-office events, meetings, and conferences. Set up and breakdown meeting rooms and event spaces, ensuring all necessary equipment is available and operational.
- Track facility-related KPI’s and assist in budgeting for facility services. Maintain accurate records of vendor agreements, maintenance schedules, and inspections.
Qualifications:
- Proficiency with Microsoft Office Suite including, Access, Outlook, Word, PowerPoint & Excel .
- Strong organizational and analytical skills; problem solving ability.
- Basic knowledge of standard facilities maintenance, janitorial duties, cleaning techniques, products and equipment preferred.
- Ability to multitask in a fast-paced work environment.
- Ability to work in a team-oriented environment, maintain a positive attitude at all times, and be able to assist the team/department to complete goals.
- Ability to operate hand tools appropriate to the application.
- Ability to react quickly and appropriately under pressure in emergency situations with a cool head and professionalism.
- Ability to communicate effectively with clients, supervisor and coworkers.
- A strong commitment to delivering exceptional customer service and enhancing the customer experience.
Job Requirements:
- Able to meet the physical requirements and essential functions of the role, with or without accommodation, for example, frequent standing and walking, occasional reaching with hands and arms, and occasionally lift and/or move up to 25 pounds unassisted. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
