Seeking an Office Assistant with great communication skills that is both direct and respectful. Preferably someone with a background in customer relations. This job requires a lot of communication with existing and previous clients. Proficiency with Excel is a must. The ideal candidate would likely have some experience or understanding with an independent, family-owned company dynamic.
Responsibilities
- Communications: Answer and direct incoming phone calls, call and email clients to coordinate payment dates. Manage and respond to correspondence, including emails and physical mail.
- Clerical tasks: Organize and maintain physical and digital files, perform data entry, and prepare documents. Ensure file organization based on office protocol. Data entry via Excel and other platforms. Maintain accurate customer account records.
- Office management: Monitor and manage inventory of office supplies and place orders as needed.
- Support for staff: Assist finance department with various projects and administrative tasks.
Requirements
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
· Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- A proactive and detail-oriented attitude.
- Ability to multitask and handle a variety of responsibilities.
- Visual acuity & manual dexterity
