Executive Administrative Assistant to Partner
Location: Monmouth County, NJ | Full-Time | In-Office
We are a full-service law firm based in Monmouth County, New Jersey, with multiple offices throughout the Tri-State area, seeking a highly organized, proactive, and professional Executive Administrative Assistant to provide direct support to a Partner of the firm.
This is an excellent opportunity for a recent college graduate or early-career professional interested in building a long-term career within the legal industry. The individual will work closely with the Partner and gain hands-on exposure to transactional matters, client relationships, legal operations, and the day-to-day management of a sophisticated legal practice.
This is a fully in-office position; remote or hybrid arrangements are not available. Compensation will be commensurate with experience.
For the right candidate, this position offers significant mentorship and professional growth. You will work directly alongside a Partner of the firm, assist with high-level priorities and client matters, and develop an understanding of both the legal and business sides of a growing law practice.
Key Responsibilities
- Provide comprehensive administrative and executive support directly to a Partner of the firm
- Manage the Partner's calendar, meetings, appointments, deadlines, and daily priorities
- Draft and edit professional correspondence, emails, reports, and internal documentation
- Assist with client communications and ensure timely follow-up on outstanding matters
- Coordinate meetings, calls, and other scheduling needs
- Assist the Partner with managing high-priority projects and transactional matters
- Organize and maintain client files, records, and supporting documentation
- Track deadlines, follow-ups, and action items to ensure matters continue moving forward
- Handle incoming calls, emails, and inquiries professionally and efficiently
- Maintain strict confidentiality regarding client, financial, personnel, and firm matters
- Assist with legal and administrative projects as directed by the Partner
- Coordinate with attorneys, paralegals, legal assistants, accounting, and other departments on behalf of the Partner
- Help streamline the Partner's workflow and proactively identify areas where additional support is needed
Qualifications
- Bachelor's degree required
- Ideal for a recent graduate interested in law, business, real estate, or legal operations
- Prior administrative, executive assistant, or law firm experience is a plus, but not required
- Exceptional organizational and time-management skills
- Excellent written and verbal communication
- Strong attention to detail is essential
- Ability to multitask and prioritize effectively in a fast-paced environment
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Ability to exercise discretion, professionalism, and sound judgment
- Strong interpersonal and client-service skills
- Proactive, dependable, and comfortable taking ownership of responsibilities
- Strong desire to learn, develop professionally, and build a long-term career within the firm
