We are seeking a highly capable, trusted Executive Personal Assistant to support our CEO in a unique, high-impact role that blends executive support with personal assistance.
This is not a traditional assistant role. This individual will serve as a true force multiplier, managing both professional priorities and personal logistics to enable the CEO to focus fully on the business.
Executive Assistant Responsibilities:
- Manage and optimize CEO’s calendar across multiple time zones, ensuring efficient use of time
- Coordinate internal and external meetings, including leadership, client, and partner interactions
- Prepare daily and weekly schedules, briefings, and key materials
- Manage email flow, draft responses, and prioritize communications
- Track and follow up on key action items, ensuring accountability across teams
- Coordinate domestic and international business travel, including detailed itineraries
- Support executive meetings, presentations, and light business coordination
- Serve as a point of contact between the CEO and internal/external stakeholders
Personal Assistant Responsibilities:
- Oversee and manage personal matters, including vendors, maintenance, and services
- Coordinate and manage service providers (cleaning, landscaping, repairs, etc.)
- Manage personal calendar, appointments, and family-related items
- Handle personal errands, reservations, and day-to-day coordination
- Coordinate personal and family travel, including planning and logistics
- Manage household budgets, invoices, and expense tracking
- Source, vet, and manage vendors and service providers as needed
- Anticipate needs and proactively resolve issues
Integrated Responsibilities:
- Prioritize and balance competing business and personal demands seamlessly
- Handle highly confidential personal and business matters with discretion
- Respond to urgent requests quickly and effectively across both business and personal domains
Qualifications
- Bachelor's degree in Business, Supply Chain Management, Hospitality, or equivalent preferred.
- 5 years supporting a senior executive
- Experience managing both business and personal responsibilities
- Highly organized, detail-oriented, and able to manage competing priorities
- Strong judgment, discretion, and ability to handle sensitive information
- Proactive, resourceful, and solutions-oriented (“figure it out” mindset)
- Comfortable operating in a fast-paced, dynamic environment
- Strong communication skills and professionalism
