A downtown Atlanta criminal defense firm handling serious state and federal cases seeks a polished, dependable Receptionist to manage front-office operations and provide legal administrative support. The ideal candidate is articulate, organized, comfortable with established processes, and able to handle sensitive subject matter with discretion and without judgment.

Responsibilities

·  Serve as the first point of contact for clients, prospective clients, visitors, and callers; maintain a professional, welcoming office presence.

·  Answer and screen calls, respond to emails, and promptly handle prospective-client inquiries; update the lead-management system.

·  Communicate with clients, attorneys, courts, judges, court staff, law enforcement, and other parties by phone, and email.

·  Support consultations and new-client intake, including preparing agreements, payment instructions, and client files.

·  Prepare and send agreements through Adobe Sign; maintain client contacts and case information in the firm's electronic systems.

·  Maintain organized physical and electronic files; scan, save, route, and file mail, emails, faxes, court notices, and other case documents.

·  Assist with file closings, document return, scanning, and secure disposal of records.

·  Prepare and electronically file pleadings through PeachCourt, Odyssey, PACER/ECF, and other filing systems; training provided.

·  Maintain the firm calendar, docket court dates and deadlines, schedule appointments, and flag time-sensitive matters.

·  Handle mailings and deliveries through USPS, FedEx, and similar services.

·  Monitor office supplies, keep shared spaces client-ready, and report equipment or technology issues.

·  Proofread communications and filings for accuracy, grammar, spelling, and formatting.

·  Learn and follow firm systems, workflows, and procedures; perform other administrative duties as needed.

Qualifications

·  Prior professional office experience preferred.

·  Strong written and verbal communication skills and a solid command of grammar, punctuation, and spelling.

·  Professional, well-spoken, personable, and comfortable interacting with clients, courts, attorneys, and law enforcement.

·  Strong organization, attention to detail, follow-through, and ability to manage multiple priorities.

·  Self-motivated and able to take initiative while following established processes and instructions.

·  Comfortable discussing sensitive or uncomfortable criminal-case subject matter professionally and without judgment.

·  Proficient with Microsoft Office for Mac, macOS, Adobe/PDF software, Adobe Sign, Dropbox, and standard office equipment; familiarity with Google Workspace and shipping software (USPS, Fedex) is helpful.

·  Able to remain calm and professional in what can be a fast-paced environment and maintain strict confidentiality.

Our Culture

We are professional but not overly formal. The office is polished, comfortable, welcoming, and energetic. We value strong communication, sound judgment, initiative, and a sense of humor. Because our work involves serious criminal matters, team members must be mature, discreet, and able to discuss difficult topics without embarrassment or judgment. We are also structured and process-oriented: consistency matters, and established workflows are expected to be followed.

·  Hours: Monday-Friday, 9:00 a.m.-5:30 p.m.
