Job Overview
As an HR Assistant at Optima Partners, you will play a vital role in supporting the daily functions of the Human Resources department. This position is ideal for someone who is proactive, highly organized, and passionate about creating a great employee experience. You will contribute to HR operations and help maintain an efficient, well-stocked and welcoming office environment.
Key Responsibilities
- Assist with the recruitment process, including job postings, resume screening, and interview scheduling.
- Support the onboarding of new hires, ensuring a smooth and positive transition into the company.
- Maintain accurate and up-to-date employee records.
- Assist in preparing HR documents such as employment contracts and offer letters.
- Maintain US ADP PTO and Sick recording for employees for accuracy.
- Provide support in managing employee benefits programs.
- Respond to employee inquiries related to benefits and policies.
- Help ensure compliance with internal HR policies and external employment regulations.
- Coordinate and support internal social events and team-building activities.
- Assist in the planning and execution of performance management processes, including scheduling and tracking annual reviews and performance evaluation.
- Maintain organized records and timelines related to performance reviews, and ensure timely communication with managers and employees.
- Stay updated on HR-related legal and regulatory employment.
- Support resolution of employee questions and concerns.
- Contribute to fostering a respectful, inclusive, and collaborative workplace culture.
- Perform general administrative duties to support the HR team and broader office operations.
- Keep kitchen and conference room areas clean and organized on a regular basis.
- Monitor and restock office supplies to ensure necessary items are always available. Maintain and replenish kitchen supplies.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
- Experience with ADP HRIS system is not required but a plus.
- Strong interpersonal and communication skills.
- Excellent attention to detail and organizational ability.
- Proficient in Microsoft Office Suite.
- Ability to handle confidential information and discretion and professionalism.
