Principal Activities & Responsibilities
- Coordinates and schedules all clinic visits and outpatient procedures; including the detailed completion of orders and requests to include pre-certifications for diagnostic testing as required.
- Collaborates with the medical team to optimize scheduling and accommodate patient needs.
- Processes patient recall in a timely manner to include recall notification for patient, scheduling upcoming clinic appointments, testing and/or procedures.
- Answers and directs all incoming clinic phone calls, checks voicemail and fax for messages.
- Warmly greets and checks patients in and out for clinic visits, ensuring insurance and demographic information is verified and updated as needed.
- Clearly explains financial requirements to patient or their representatives, verifies insurance eligibility, and collects required copays.
- Processes cash and insurance payments, prepares bank deposits, and completes daily deposit summaries.
- Prepares patient charts for upcoming appointments, ensuring all information is accurate, complete, and ready for the visit.
- Completes timely and accurate documentation for all patient encounters via phone or verbally within Electronic Health Record.
- Assists in managing appointment reminders and follow-up calls to reduce no-shows.
- Ensures strict adherence to confidentiality policies and HIPAA guidelines.
- Other duties as assigned.
- Must be able to walk, talk, hear, use hands to handle, feel or operate objects, tools, or controls, and reach with hands and arms.
- Vision abilities required by this job include close vision and the ability to adjust focus.
- May be required to push, pull, lift, and/or carry up to 40 pounds.
- Must be able to sit and type for long periods of time.
- May require working occasional nights and/or weekends.
- Moderate noise level with frequent interruptions and distractions.
- Must be willing and able to travel both locally and within the CTCLUSI service delivery area.
- May be required to attend meetings, conferences and Tribal events.

Required Experience
MINIMUM JOB REQUIREMENTS
- Must be 18 years of age or older.
- High School Diploma or equivalent.
- Must have a valid driver's license and be able to be insured to drive Tribal Government vehicles.
- One (1) or more years of professional front office/reception experience.
- Familiarity with Electronic Health Records (EHR) systems.
- Proficient in operating a computer and multi-line phone system, including transferring calls and paging.
- Basic understanding of insurance verification, billing, and coding procedures.
- Strong attention to detail and accuracy, especially when processing medical records and cash transactions.
- Strong interpersonal skills and the ability to interact with patients and staff in a professional manner.
- Comfortable working in a fast-paced environment with fluctuating demands while maintaining attention to detail.
- Experience and proficiency in the use of Microsoft products (Excel, Outlook, PowerPoint, Word, etc).
- Ability to communicate clearly and effectively in English, verbally, in writing or by other acceptable means.
- This is a safety sensitive position and will be subject to pre-employment drug testing and criminal history background check, which will include fingerprinting.
- Must have employment eligibility in the U.S.
- Indian preference will be observed in the hiring process.
