Job Title: Project Field Administrator
Department: Operations / Field Operations
Reports To: Project Manager and/or Project Executive
Position Summary
The Project Field Administrator provides administrative and operational support for field construction projects, ensuring accurate documentation, effective communication, and efficient coordination between project teams, subcontractors, vendors, and corporate departments. This role is responsible for maintaining project records, supporting field personnel, assisting with project reporting, and helping ensure compliance with company procedures and project requirements.
Key Responsibilities
- Provide administrative support to project management and field supervision teams.
- Maintain project files, records, logs, and documentation in accordance with company standards.
- Process and track project correspondence, submittals, RFIs, meeting minutes, and other project-related documents.
- Coordinate onboarding documentation for project personnel, subcontractors, and visitors as required.
- Assist with project reporting, data entry, and document management systems.
- Support payroll and timekeeping processes for field employees by collecting, reviewing, and submitting required information.
- Maintain records related to equipment, deliveries, purchase orders, invoices, and project expenses.
- Coordinate office and project site administrative activities, including supplies, communications, and scheduling support.
- Assist with organizing and maintaining safety documentation, training records, and compliance files.
- Prepare and distribute project reports, presentations, and meeting materials.
- Support project closeout activities by organizing and compiling required documentation.
- Serve as a liaison between field operations, accounting, human resources, and other corporate departments.
- Maintain confidentiality of employee, project, and company information.
- Perform other duties as assigned.
Required Qualifications
- High school diploma or equivalent required.
- Minimum of 2 years of administrative experience, preferably in construction, engineering, or a project-based environment.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively within a fast-paced environment.
- Strong attention to detail and accuracy.
Preferred Qualifications
- Associate's degree in Business Administration, Construction Management, or a related field.
- Experience supporting construction projects or field operations.
- Familiarity with project management, document control, or construction software platforms.
- Experience with payroll processing, timekeeping systems, or accounting support functions.

Physical Requirements / Work Environment

- May be required to travel between project sites and office locations.
- Ability to occasionally lift and carry up to 25 pounds.
- Work environment may include both office and active construction site settings.

Compensation and Benefits
Salary Range: Competitive Annual Salary based on qualifications, skills, training, experience, and location.
