What are the responsibilities and job description for the Construction Administrator position at Concrete Applied Technologies Corp. dba CATCO?
Position Overview
Concrete Applied Technologies Corp. (CATCO) is seeking an organized, detail-oriented, and resourceful individual to join our office team in a construction compliance and administrative support role.
This position involves more than traditional administrative or data-entry responsibilities. We are looking for someone with strong computer skills, critical thinking abilities, sound judgment, and the initiative to independently research and resolve issues.
Previous construction or compliance experience is helpful but not required. We will provide training on industry-specific systems, regulations, and procedures. However, applicants must already possess a strong working knowledge of Microsoft Office, the ability to learn new processes, and the organizational skills needed to manage multiple responsibilities.
The selected individual will work closely with our compliance, accounting, and operations staff, gradually assuming responsibility for assigned processes and projects.
Key Responsibilities
Responsibilities will be assigned based on experience, training, and demonstrated ability and may include:
- Prepare, review, organize, and submit project documentation and compliance reports.
- Maintain Excel spreadsheets, project trackers, reports, and electronic records.
- Assist with EEO, MWBE, SDVOB, DBE, workforce, and certified payroll compliance requirements.
- Review contracts, reports, invoices, and supporting documents for accuracy, completeness, and inconsistencies.
- Track subcontractor agreements, insurance, purchase orders, invoices, payments, and other project requirements.
- Research contract provisions, agency requirements, regulations, and unfamiliar issues using reliable sources.
- Communicate professionally with government agencies, project owners, subcontractors, vendors, and internal departments.
- Prepare correspondence, reports, forms, and follow-up communications.
- Monitor deadlines, obtain outstanding documentation, and follow assigned tasks through completion.
- Assist with accounts payable, purchasing, vendor documentation, and general office operations.
- Learn and utilize construction management, accounting, and government reporting systems.
- Assist in improving spreadsheets, tracking methods, procedures, and office workflows.
Required Qualifications
We are seeking candidates who demonstrate:
- Strong critical thinking and problem-solving skills, including the ability to identify discrepancies and evaluate information before taking action.
- Independence and initiative, with a willingness to research unfamiliar issues and pursue solutions.
- Excellent attention to detail, particularly when reviewing numerical information, contracts, instructions, and documentation.
- Strong organizational and time-management skills, with the ability to balance multiple projects and deadlines.
- Ability to learn and retain information, apply training to new situations, and adapt to changing requirements.
- Effective written and verbal communication skills, including the ability to ask clear, informed questions and follow up professionally.
- Accountability and reliability, with a commitment to completing assigned responsibilities accurately and on time.
- Ability to work collaboratively while managing individual responsibilities with minimal supervision after training.
Required Computer Skills
Proficiency in Microsoft Office is essential for this position. Applicants should be comfortable using technology to organize information, analyze data, prepare documents, and complete daily responsibilities.
- Microsoft Excel: Working with formulas, tables, sorting, filtering, formatting, and maintaining complex spreadsheets.
- Microsoft Word: Creating, editing, and formatting professional documents and reports.
- Microsoft Outlook: Managing email correspondence, attachments, calendars, and electronic organization.
- Adobe Acrobat: Reviewing, editing, combining, organizing, and managing PDF documents.
- General Computer Skills: Navigating online portals, researching information, managing shared files, and learning new software applications.
Candidates selected to move forward in the hiring process will be asked to complete a brief, practical skills assessment designed to demonstrate their proficiency with Microsoft Office, attention to detail, critical thinking, problem-solving abilities, and ability to work independently. The assessment focuses on general office skills and does not require prior construction industry experience.
Preferred Experience
Experience in one or more of the following areas is beneficial but not required:
- Construction administration or public works contracting
- Regulatory or contract compliance
- Accounts payable or accounting support
- Certified payroll and workforce reporting
- Project coordination or contract administration
- Vendor, subcontractor, or insurance documentation
- Administrative positions involving extensive research, reporting, or data management
Our Expectations
We value employees who take initiative, pay attention to detail, and make a genuine effort to understand the work they perform.
The ideal candidate is someone who can evaluate available information, recognize when something does not seem right, and work toward a solution rather than simply completing tasks by routine.
We provide training and support, but our goal is to develop a knowledgeable, dependable team member who can confidently manage assigned responsibilities and contribute to the overall efficiency of our office.
