Position Overview

Concorde Education is seeking a full-time Assistant Program Coordinator – Quality Assurance to support the successful delivery of educational enrichment programs across Visalia Unified School District.

This is an entry-level administrative and program support role designed for someone who is organized, reliable, school-facing, and committed to maintaining high-quality student programming. The Assistant Program Coordinator will work directly under the Program Coordinator and will help monitor program quality through campus visits, instructor observations, data collection, reporting, and follow-up support.

The ideal candidate will be comfortable working in school environments, communicating professionally with instructors and site staff, observing classroom/program delivery, identifying areas for improvement, and helping ensure that Concorde programs are running smoothly, safely, and consistently across multiple campuses.

This is a hybrid role, with remote administrative work typically taking place during morning hours and required on-campus presence during after-school programming or other scheduled program activities. While working remotely, the Assistant Program Coordinator must remain fully accessible and responsive to the Program Coordinator and Concorde team.

Key Responsibilities

Program Quality Assurance

  • Visit assigned Visalia Unified school campuses to observe Concorde programs during after-school activities and other scheduled program times.
  • Shadow instructors and observe program delivery, student engagement, classroom environment, pacing, preparedness, and overall instructional quality.
  • Collect observation notes and program data to help evaluate program effectiveness.
  • Identify areas where instructors may need support, coaching, clarification, or additional materials.
  • Help generate improvement plans when program quality concerns are identified.
  • Follow up on improvement plans as directed by the Program Coordinator.
  • Support consistent implementation of Concorde expectations across campuses.

Campus and Instructor Support

  • Serve as a visible and professional Concorde representative while on campus.
  • Provide support to instructors when needed, including helping with materials, logistics, student transitions, or classroom routines.
  • Model professional conduct, appropriate student interaction, and strong campus presence.
  • Help instructors understand program expectations and site-specific procedures.
  • Support the distribution, organization, and tracking of program supplies and materials.

Emergency Substitute Coverage

  • Serve as an emergency substitute instructor when no other substitute can be secured.
  • Step into programs as needed to prevent cancellations and maintain continuity for students and schools.
  • Follow provided curriculum, lesson plans, and site expectations when covering a class.
  • Communicate any substitute coverage issues or program concerns to the Program Coordinator.

School and District Communication

  • Assist with maintaining positive relationships with school administrators, site directors, and district staff.
  • Participate in campus check-ins with school staff as directed by the Program Coordinator.
  • Attend district or school meetings when requested.
  • Communicate professionally and clearly with school-based staff.
  • Share relevant school feedback, concerns, or requests with the Program Coordinator.

Reporting and Administrative Support

  • Provide regular reports to the Program Coordinator based on campus observations, instructor performance, program status, and school feedback.
  • Maintain a weekly calendar of planned campus visits, meetings, observations, and support activities.
  • Track assigned follow-up items and help ensure they are completed in a timely manner.
  • Assist with program documentation, data collection, and internal reporting.
  • Remain accessible and responsive during remote work periods.
  • Complete other administrative and program support tasks as assigned by the Program Coordinator.

Schedule and Work Environment

This is a full-time Monday–Friday position. The role is hybrid, with a combination of remote administrative work and required in-person campus support.

The Assistant Program Coordinator should expect to be on campuses during after-school programming and at other dates and times as needed based on program schedules, school needs, district meetings, instructor support needs, or emergency coverage requirements.

The schedule may vary based on program operations and will be set at the direction of the Program Coordinator.

Travel Requirements

This position requires regular travel to Visalia Unified school sites. The candidate must have reliable transportation and be able to travel between campuses as needed.

Mileage reimbursement is available for authorized business travel, including travel between multiple school sites in a single day, in accordance with company policy and applicable law.

Qualifications

Required

  • At least 60 completed college credit hours.
  • Prior experience working with school-age students, after-school programs, youth development programs, education programs, or similar settings.

  • Comfort working directly with instructors, school staff, and district personnel.
  • Ability to maintain professionalism in school environments.
  • Ability to work independently while remaining responsive to the Program Coordinator.
  • Reliable transportation for travel to school sites.
  • Ability to complete all required background checks, fingerprinting, and school/district clearance requirements.
  • Availability to work during after-school program hours and other required dates/times as assigned.

Preferred

  • Experience as an instructor, tutor, paraprofessional, after-school staff member, site assistant, youth program leader, or education program support staff.

  • Familiarity with enrichment programming, student engagement strategies, or classroom management.
  • Comfort stepping into instructional settings when emergency substitute coverage is needed.
