Essential Duties And Responsibilities
Payroll Administration
- Oversee payroll administration for employees across three skilled nursing facilities.
- Review, audit, and validate employee punches, timecards, attendance records, overtime, and shift differentials before payroll submission.
- Monitor and resolve missed punches, timekeeping discrepancies, and payroll exceptions.
- Ensure all new hires, terminations, pay rate changes, transfers, and employee status changes are entered accurately and timely into workforce management systems.
- Coordinate payroll submissions with the organization's third-party payroll provider.
- Review payroll reports and identify discrepancies before payroll is finalized.
- Respond to payroll-related questions from employees and management.
- Generate payroll, labor, and staffing reports as requested.
- Maintain strict confidentiality of employee information.
- Assist with onboarding and new hire processing.
- Maintain employee records and personnel files.
- Support benefit administration and employee status changes.
- Ensure HR documentation remains compliant with company policies and regulatory requirements.
- Provide backup support for HR functions during absences or periods of high volume.
- Assist employees with routine HR-related inquiries.
- Maintain compliance with payroll, labor, and employment regulations.
- Assist with payroll, HR, and regulatory audits.
- Identify opportunities to improve payroll and HR processes.
- Partner with facility leadership to promote accurate workforce management practices.
Required
- Minimum of 3 years of payroll administration, HR administration, workforce management, or related experience.
- Experience reviewing and auditing employee timekeeping records.
- Strong attention to detail and commitment to accuracy.
- Proficiency with payroll, timekeeping, or workforce management systems.
- Strong Microsoft Excel and Microsoft Office skills.
- Excellent organizational and time-management abilities.
- Ability to handle confidential information with professionalism and discretion.
- Strong communication and customer service skills.
- Experience in skilled nursing, long-term care, healthcare, or multi-location operations.
- Experience with SmartLinx or similar workforce management software.
- Experience supporting Human Resources functions.
- Knowledge of payroll regulations and wage-and-hour compliance.
