What we need from you...
- Calendar Management - Efficiently manage and maintain the Executive Leadership Teams schedule, including meetings, appointments, and travel. Prioritize and resolve conflicts as needed.
- Meeting Coordination - Organize monthly leadership team meetings, including preparing agendas, taking minutes, and ensuring timely follow-up on action items.
- Communication Liaison - Serve as the gatekeeper for the Executive Leadership Teams office by screening incoming communications (emails, calls, etc.) and handling them appropriately. Ensures that executive leadership is informed of priorities and deadlines
- Travel Arrangements - Coordinate all aspects of travel, including flights, hotels, transportation, and itineraries.
- Expense & Reconciliation - Completes accurate and detailed credit card expense reporting for the executives.
- Employee Owner - Support project team with miscellaneous paperwork and administrative tasks
- Document Preparation - Draft, edit, and review correspondence, presentations, and reports on behalf of the Executive Leadership Team.
- Confidentiality - Handle sensitive and confidential information with the utmost discretion and professionalism.
- Board Liaison - Prepare materials and presentations for board meetings, maintain records, manage communication, and take meeting minutes for Concord's Board of Directors.
- Office Management - Ensure the Executive Leadership Team office is operating efficiently, including supplies, technology needs, communication among the team, and administrative processes.
- Flexible - Able to handle shifting priorities and navigate the fast-paced environment that often comes with a growing company.
Additional Expectations.....
- 5 years of experience as an Executive Assistant or similar role supporting C-level executives, in a corporate setting
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities.
- High level of proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to prioritize tasks and manage time effectively in a fast-paced environment
- Exceptional attention to detail and problem-solving skills
- Ability to maintain confidentiality and handle sensitive information, and work independently with minimal supervision
- Ability to work within an environment of frequent interruptions, conflicting priorities, and varying workloads
