Position Summary
The Fleet Specialist is responsible for the day-to-day management, maintenance, and coordination of Concilio’s fleet of vehicles, including cars, vans, SUVs, and trucks. This role ensures all fleet operations are safe, compliant, efficient, and aligned with organizational policies and regulatory requirements.
Key Responsibilities
- Manage and maintain the organization’s fleet in accordance with company policies and industry standards
- Coordinate and schedule required DOT and safety inspections
- Oversee preventative maintenance and ensure timely vehicle repairs
- Monitor vehicle condition, cleanliness, and overall readiness for use
- Manage relationships with dealerships, service providers, and vendors
- Review invoices for accuracy and ensure quality of maintenance services
- Track and maintain vehicle registrations, titles, and insurance documentation
- Conduct routine vehicle checks before and after use
- Manage daily vehicle requests and reservations, ensuring timely response
- Monitor motor vehicle records and report violations
- Coordinate insurance claims and incident reporting for fleet-related issues
- Manage parking and transportation passes (e.g., SEPTA, parking permits)
- Recommend process improvements to enhance fleet operations
· Associate’s degree.
· 3-7 automotive experience
· 5-10 years clear vehicle record and valid driver's license
· 5- years of facility and maintenance experience
· Relevant automotive licenses and certificates may be required.
· Courses in mechanical engineering, understanding electricity, and blueprint reading would be advantageous.
· Fleet experience
· Scheduling and logistics coordination experience
· Inventory keeping and documentation experience
· Repair work experience.
· Physical strength and good hand-eye coordination.
· Excellent customer service and negotiation skills.
· Leadership experience recommended.
· Proficiency in Excel and Word.
