Position Overview:
The Office Manager plays a critical role in the daily operations of Concept Three. This position serves as the hub between our team, media partners, and clients — handling a variety of administrative, financial, and operational duties to support our creative and media operations.
Key Responsibilities:
- Answer and direct incoming phone calls; serve as a friendly first point of contact for clients and vendors.
- Manage media billing processes including vendor invoice reconciliation, insertion order tracking, and payment coordination.
- Conduct media audits to ensure billing accuracy and resolve discrepancies with vendors.
- Assist with client billing support, internal invoicing, and maintaining accurate billing records.
- Place media orders and confirm media placements with vendors.
- Maintain organized files, records, and databases related to media buys, contracts, and billing.
- Support the leadership team with administrative needs, including scheduling, reporting, and internal office management.
- Serve as liaison between internal staff and outside partners for smooth communication and workflow.
- Assist lead media buyer with media sales relations with proactive measures to collect rates, reconcile buys and audit logs.
- Handle general office tasks including ordering supplies, mail handling, and basic office upkeep.
Qualifications:
- Prior experience in an administrative, billing, or office management role (experience in media or advertising preferred, but not required).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multi-task, prioritize, and manage deadlines.
- Proficiency with office software (Microsoft Office, Excel, QuickBooks Online, or similar platforms a plus).
- Experience with campaign reporting software a plus
- Comfort working with numbers, invoices, and vendor reconciliations.
- Dependable, proactive, and a team player.
