Position Overview: The Human Resources Administrative Support position provides essential administrative and operational support to the Human Resources Department. This role requires a high level of confidentiality to protect the rights of individuals served by ComServ, Inc., its employees, and organizational operations. The position combines foundational human resources knowledge with strong administrative and organizational skills.

Essential Duties and Responsibilities

Monday through Friday 8am-5pm

Administrative

  • Assures the organization and its mission, programs, objectives, and services are consistently presented in a strong, positive image to relevant stakeholders.
  • Manages and maintains ESC correspondence and associated processes.
  • Assists with hiring-onboarding new employees.
  • Assists with company programs and events.
  • Recruits for open positions using platforms such as really, social media, attending job fairs and working with local high schools, community colleges and universities.
  • Works closely with hiring managers on open positions and provides interview support.
  • Maintains personnel files- HRIS and paper
  • Leads annual employee survey program.
  • Good communications skills to include knowledge of HIPPA.
  • Responsible for purchase orders, vehicle tag renewals, and other tasks as assigned.
  • Requests background checks and motor vehicle reports.
  • Assists other members of the Human Resource team with drug screens, accident reports, reference checks and other tasks as assigned.
  • May be assigned special programs such as supporting employee benefits, wellness challenges, healthy outcomes or employee retention.
  • Must be organized and detail oriented exhibiting patience and diligence.
  • Should be comfortable working independently and be self-motivated.
  • Generates reports as needed.
  • Data entry on various software.
  • May be asked to research Human Resource topics.
  • Interacts with company vendors and business stakeholders.
  • Ensures and supports cultural competency within the organization that is reflective of the community and individuals served in regard to culture, age, gender, sexual orientation, spiritual beliefs, socioeconomic status, and language.
  • Monitors, manages and reports recruiting budget to COO/HR Manager.

Documentation

  • Ensures documentation becomes part of the employee’s personnel file as required.

Other

  • Attends all required organizational training, as well as approved external training and professional development opportunities.
  • Serves on committees as requested by the COO.
  • Acts as a role model to all staff and persons we serve.
  • Adheres to ComServ, Inc. vision, mission and philosophy.
  • Adheres to Employee Code of Conduct.

Minimum Education and Experience Requirements:

Associates or Bachelor’s degree with one or more years of work experience in related human resource, recruiting or administrative experience; OR high school diploma with three or more years of experience in work related field.

Knowledge, Skills & Abilities Required:

  • Ability to work well with others, communicate clearly and effectively, verbally and in writing.
  • Ability to act independently and make good judgments.
  • Ability to establish rapport and relate to employees, other members of management, community agencies and groups, and a variety of other persons they might have contact with related to responsibilities of the position.
  • Must be able to operate a variety of automated office equipment including a computer to communicate via e-mail and to produce and edit documents (copier, fax machine, and other related equipment).
  • Must be adaptable and flexible to perform under moderate levels of stress when confronted with an emergency.
  • Proficient with Microsoft office to include Excel, Teams, Outlook and general office software and competency to learn other software and applications as needed.
  • Experience using an applicant tracking system and an HRIS preferred.

Physical Requirements:

Must be able to perform the basic life operational skills of reaching, fingering, grasping, feeling, talking, hearing and repetitive motions. Must be able to perform sedentary work, exerting up to 25 pounds of force occasionally and/or a negligible amount of force constantly to move objects and lift up to 50 pounds with assistance. Must possess the visual acuity to prepare and analyze data and figures, to operate a computer terminal and to read extensively. Position requires ability to travel and transport self from one business location to another as needed.
