CTMS is excited to extend an offer to join our team as our Office Manager. In this role, you will play a pivotal part in managing employment, onboarding/offboarding decisions, performance reviews, compensation/benefits, disciplinary actions, payroll, budgeting, invoicing, AP/AR, expense approvals, or financial reporting by working with our Executives, IT Directors, Service Desk Manager, Facilities vendors, Building management.

What You’ll Do:

  • Own the overall office environment: seating plan, visitor management, mail/shipping, kitchen/supplies, and cleaning/security vendor coordination.
  • Manage building access systems and physical keys/badges; maintain access lists and audit logs.
  • Oversee conference rooms and shared spaces (A/V readiness, booking rules, room resource calendars) for all internal and customer meetings.
  • Coordinate repairs, maintenance tickets, ergonomics requests, and safety equipment (first‑aid kits, AED checks).
  • Maintain documentation on emergency procedures, floor wardens, and drill schedules in partnership with Safety/IT Security.
  • Plan and execute office moves, desk reconfigurations, and small build‑outs, coordinate with landlords and contractors.
  • Accept Shipments and receive them into the systems.
  • Maintain and publish the on call/after‑hours schedule (administration only), ensuring coverage and communicating changes to stakeholders.
  • Track aging tickets and SLA timers; nudge owners and escalate to team leads when thresholds are at risk—no performance management.
  • Maintain stock levels for office supplies, shipping materials, and common peripherals/loaners; track checkouts/returns and RMA workflows.
  • Administer asset tagging and chain‑of‑custody records for shared gear and loaner kits, schedule periodic audits.
  • Prepare workspaces and non‑financial logistics for equipment deployments or hot‑desk stations (per checklists provided by IT).
  • Initiate purchase requests for approved items and manage deliveries/returns; route approvals and payments to Procurement/Finance.
  • Serve as day‑to‑day point of contact for non‑technical vendors: building management, cleaning, coffee/water, shredding, couriers, office supplies, security, etc.
  • Keep a renewal/calendar tracker for facilities and operational service agreements; collect quotes/options and route to leadership for decision and Finance for payment.
  • Plan and run logistics for all hands, ops reviews, lunch‑ and‑ ‑learns, client on‑site workshops, and tabletop exercises (rooms, A/V, materials, recordings).
  • Publish weekly “Ops Bulletin” with upcoming facility items, schedule changes, system maintenance windows (content supplied by system owners).
  • Coordinate travel logistics and itineraries for field work or client onsite engagements (per policy), including expense reimbursement processing.
  • Manage shared calendars and internal distribution lists for operational comms.
  • Lead cross functional logistics‑ for events.
  • Work with the appropriate manager on logistics for any new departmental initiatives.
  • Take on our current Autotask migration and support the team by providing all the necessary documents and information for the migration, making sure that all workflows, products, agreements, contracts, and any other data get properly moved from ConnectWise to Autotask.
  • Facilitate any future migrations of systems involving operations.

  • Minimum High School Degree/GED
  • Must have 1 year of prior office experience
  • Strong organizational and communication skills.
  • Proficiency with CRM software and marketing tools.
  • Self-motivated with a results-oriented mindset.
