Job Summary
We are seeking an HR Coordinator I to support employment eligibility verification processes for Client. This role involves executing I-9 form completion, document review, and record maintenance under direct supervision, ensuring compliance with federal requirements while learning HR operations fundamentals.
Key Responsibilities
- I-9 Processing
- Complete Section 2 of Form I-9 for new hires within required deadlines.
- Review and verify employee identity and employment authorization documents against USCIS List A, B, and C.
- Enter I-9 data accurately into HRIS system and attach supporting documentation.
- Flag incomplete or questionable documents to HR Operations Manager for review.
Record Management
- Maintain organized I-9 files (electronic and/or physical) per retention guidelines.
- File documents consistently with proper labeling and secure storage.
- Update tracking spreadsheets and monitor upcoming reverification deadlines.
- Respond to basic employee questions about I-9 requirements; escalate complex inquiries.
Administrative Support
- Send reminder notifications to employees and managers about pending I-9 tasks.
- Assist with periodic file audits and pull requested records for review.
- Compliance & Learning
- Follow WD I-9 policies, procedures, and quality standards.
- Complete required training on immigration compliance, data privacy, and confidentiality.
- Maintain confidentiality of all employee information per WD standards.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field; OR currently pursuing degree with 1 years administrative experience in HR, legal, compliance, or similar environments or High School diploma or GED with 4 years of relevant experience.
- Strong attention to detail and ability to follow written procedures precisely.
Preferred Qualifications
- Experience with HRIS systems and document management.
- Prior exposure to compliance or audit processes.
Certifications
- None required; HR-related certifications are a plus.
