The Office & Marketing Assistant serves as the face of the office and a key support resource for both office operations and the marketing team. This role manages the front desk, ensures a welcoming and professional environment for employees, customers, and partners, and assists with event coordination, swag management, and marketing administrative tasks. This position is ideal for someone who is highly organized, personable, and enjoys a mix of office coordination and marketing support.
Key Responsibilities
Front Desk & Office Experience
- Serve as the first point of contact for all guests, customers, partners, and employees entering the office
- Create a welcoming, professional, and organized office environment
- Answer and route incoming calls and greet visitors
- Coordinate office space and preparation for visiting employees and guests
- Ensure conference rooms and common areas are tidy, organized, and meeting-ready
Office & Administrative Support
- Order and manage office supplies, snacks, beverages, and kitchen inventory
- Order and coordinate lunches for in-office customer meetings and internal meetings
- Open and manage building service tickets (maintenance, cleaning, access, etc.)
- Assist with occasional pick-ups and errands for office or event needs
Event & Internal Training Support
- Assist with planning and on-site support for company internal training and events
- Coordinate breakfasts, lunches, room setups, and event logistics
- Provide off-site event support when needed
Marketing Support
- Assist with company swag (research new ideas, coordinate orders, pick up items when needed)
- Assist with signage and basic graphic creation
- Support Proof of Performance (POP) documentation and organization
- Provide general administrative support to the marketing team as needed
Skills & Qualifications
- Strong interpersonal and communication skills; enjoys working with people
- Highly organized and detail-oriented
- Ability to manage multiple tasks and deadlines
- Comfortable working with vendors, ordering systems, and basic design tools
- Self-starter who can take initiative and solve problems
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Basic design experience is a plus
