ABOUT THE Division
Join the Enforcement Division team as an Administrative Assistant! Work involves disseminating information, maintaining filing systems and performing internal administrative support work. This job is a position of public trust and requires a high degree of confidentiality and professionalism in handling taxpayer and employee records, information.
Minimum Qualifications
- Graduation from an accredited high school or successful completion of the General Educational Development test (GED).
- 2 years of experience performing clerical office and/or administrative support work.
- 2 years of experience using Microsoft Word and Excel.
- 2 years of experience answering a multi-line telephone.
Preferred Qualifications
- 1 year experience using a multi-telephone system.
- Experience writing, reading, and speaking effectively both in English and Spanish.
Substitutions
- Past workforce history or Career and Technical Education (CTE) experience or Career Pathway Program Experience.
- Education requirement may be substituted with up to four (4) years of related experience.
- Thirty semester hours from an accredited college or university. College credit may substitute for one year of the administrative support or clerical work experience requirement on a year-for-year basis with a maximum substitution of two years.
Licenses and Certifications
- A valid Texas (or state of residency) driver’s license and a satisfactory driving record are a condition of employment. Applicants offered an interview must present the following documents at or before the interview: A state issued driving record for the last 36 months; valid Texas driver’s license (or state of residency driver’s license); and current proof of automobile insurance.
In this role you will:
Knowledge of:
- Microsoft Office e-mail software, Internet, and mainframe functions to research, prepare management reports, complete forms, and letters, and perform mail merges.
- Multi-line telephone system.
- Standard office practices and procedures involved in providing professional administrative services.
- Records retention policies and procedures.
Skill in:
- Using a multi-line telephone system.
- Using a personal computer in a Windows environment to support office staff; access agency and division databases, systems, and mainframe functions; and access Microsoft Word and Excel to create various business documents.
- Maintaining established office filing, inventory, and supply systems.
Ability to:
- Answer and route calls in a timely, polite and professional manner.
- Take complete, accurate and thorough messages.
- Adhere to approved work schedule and maintain attendance and punctuality.
- Work in a complex, high-volume, and confidential business environment.
- Develop and maintain accurate and comprehensive files/records in accordance with state and divisional retention schedules.
- Develop and implement administrative procedures and to evaluate their effectiveness.
- Interpret rules, regulations, policies, and procedures.
- Use various office equipment, such as the copier, fax, and/or calculator.
- Train others.
- Learn new concepts and apply knowledge appropriately.
- Attend and participate in special projects and mandatory training located in local and/or out-of-town locations.
