The City of Dayton is seeking a detail-oriented and motivated Marketing Administrative Assistant to support the Department of Water’s marketing, communications, and community engagement initiatives. This position plays a vital role in ensuring smooth office operations while assisting with marketing activities, community outreach, and workforce development programs. The ideal candidate will demonstrate strong organizational skills, excellent communication abilities, and the capacity to manage multiple priorities effectively.
This is a temporary position with the potential to become permanent. Please note that, effective July 15, 2019, the City of Dayton adopted the Tobacco and Nicotine Free Hiring Policy (HR 1.03). Applicants offered employment with the City must successfully pass a nicotine screening.
Key Responsibilities
- Provide administrative support, including answering and returning calls, preparing mailings, creating address labels, filing, and organizing office records.
- Draft, edit, and format documents, correspondence, PowerPoint presentations, and reports.
- Create, update, and maintain spreadsheets in Excel; organize electronic marketing files.
- Support marketing efforts by drafting emails, assisting with social media scheduling, and posting approved content on internal monitors.
- Assist in designing marketing collateral if background or skills in graphic design/marketing are present.
- Perform inventory audits of promotional materials (“swag”), maintain storage organization, and manage order timelines.
- Participate in Water Resource classes, plant tours, and community events to gain working knowledge of COD Water Utility services.
- Support employee recognition programs (e.g., Dayton Dragons, Annual Meeting, Career Conferences, and UD Flyers tickets).
- Attend marketing meetings and provide input on campaign and collateral development.
- Represent the Department at community events, educating the public on water quality, protection, and services.
- Serve as a lead on the Hydro Hero program, collaborating with schools, universities, businesses, community agencies, and marketing partners to develop outreach initiatives.
- Coordinate selection, purchasing, and inventory of Hydro Hero promotional items.
- Assist with workforce development and professional staff development initiatives.
- Act as a water advocate by building awareness and fostering positive engagement opportunities within the community.
- Perform other duties as assigned.
Qualifications
- Bachelor’s degree in Marketing, Communications, Business Administration, or a related field required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills with a customer service mindset.
- Ability to manage multiple tasks, prioritize effectively, and work independently.
- Basic understanding of social media platforms; experience with content scheduling is a plus.
- Familiarity with graphic design or marketing tools is preferred.
- Strong organizational skills with attention to detail.
- Willingness to attend community events and represent the Department of Water professionally.
