Key Responsibilities
Accounts Payable
- Process vendor invoices and payments accurately and on time
- Maintain vendor records and files
- Review and reconcile expenses against budget
- Ensure payments are made within agreed-upon terms and that all available discounts are taken
- Prepare and review customer invoices
- Record customer payments and issue credit memos as needed
- Monitor aging reports and coordinate collection efforts for overdue accounts
- Reconcile cash receipts to posted payments
- Reconcile company purchase card activity to submitted receipts monthly
- Manage expenses and identify opportunities for cost savings and budget adherence
- Process weekly payroll and distribute checks on payday
- Assist with month-end close activities
- Collaborate with other departments to resolve accounting or payment issues
- Maintain W-9 and tax exemption certificate records
- Process annual 1099 filings and ensure IRS compliance
- Support HR-related functions and policy administration as needed
- Perform general administrative and filing tasks as required
- Strong analytical skills with the ability to reconcile expenses to budget
- Deadline-driven with a strong sense of ownership and accountability
- Highly motivated self-starter with excellent problem-solving abilities
- Willingness to work additional hours as needed to meet deadlines
- Experience with accounting software or ERP systems
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Experience with HR policy and accounting procedure enforcement is a plus
