Responsibilities:
- Greet and assist residents, families, visitors, and staff in a courteous and professional manner.
- Answer and direct phone calls, take messages, and relay information to appropriate staff.
- Maintain and update resident charts, medical records, and unit logs in accordance with facility policies and HIPAA regulations.
- Assist with admission, transfer, and discharge documentation.
- Prepare, file, and distribute forms, reports, and schedules as needed.
- Support nursing staff by transcribing physician orders and ensuring timely communication of updates.
- Coordinate resident appointments and transportation when necessary.
- Monitor inventory of unit supplies and submit requisitions to maintain adequate stock.
- Assist with scheduling meetings, staff assignments, and unit communications.
- Uphold confidentiality and compliance with all regulatory standards and company policies.
- Provide administrative support to the Nurse Manager and clinical team as required.
- High School Diploma or equivalent required.
- CNA preferred
- Previous clerical/administrative experience in a healthcare or long-term care setting preferred.
- Strong organizational and multitasking skills with attention to detail.
- Proficient in Microsoft Office Suite and comfortable with electronic medical records (EMR) systems.
- Excellent verbal and written communication skills.
- Ability to work collaboratively with nursing staff, residents, and families.
- Compassionate, professional, and able to maintain confidentiality at all times.
- Flexible and adaptable to changing priorities in a busy healthcare environment.
